Your Opportunity

The Y NSW is seeking an enthusiastic and experienced Executive Assistant (EA) to provide tactical, strategic, and operational support to the Chief Executive Officer. In this role, the EA will provide a high level of professional administrative support, tasked with analysing and collating information that is utilised by the CEO to drive achievement of service and business outcomes for the organisation.

In this unique and varied opportunity, you will utilise your advanced interpersonal qualities to liaise with a range of internal and external stakeholders across all levels. You will be responsible for coordinating a variety of meetings and events utilising your highly developed time management, planning and organisational skills with the ability to prioritise and meet deadlines.

As no two days are the same at the Y, your demonstrated ability to proactively support the CEO with their day-to-day operations including an ability to anticipate needs with a high level of flexibility to meet sometimes rapidly changing priorities will be your key to success.

Your key responsibilities will be to:

  • Provide a high-level coordination of the CEO’s diary, email and administration ensuring competing demands are effectively managed
  • Proactively manage correspondence, including preparation of responses and briefing notes as required, keeping the CEO updated
  • Liaise with members of Executive Leadership Team and other staff to coordinate meetings, events, and other matters on behalf of the CEO
  • Prepare agendas and minutes of various internal and external meetings convened or attended by the CEO. Follow up matters arising at such meetings on behalf of the CEO
  • Assist the CEO with delivery of strategic plan and budgets, following policies and procedures
  • Provide the CEO with proactive briefing and promotion of social media aligned with YNSW advocacy and thought leadership
  • Liaise with representatives from the internal and external community with whom the CEO has established business relationships and/or partnerships

  • You have previous experience supporting CEO’s or C-Suite executives of a large organisation or professional services
  • You provide excellent proactive, organisation, administration, and time management skills
  • You thrive on the challenge to sustain high level performance; problem solve and meet demanding work deadlines with limited supervision
  • You’re adaptable and flexible to meet sometimes rapidly changing priorities and variable working duties and hours
  • You are commitment to provide quality outputs with a high degree of attention to detail and a customer first mindset
  • You pride yourself on exceptional written, verbal and communication skills
  • You are proficient in Microsoft Word, Outlook, Excel, PowerPoint, MS Teams, Outlook and troubleshooting AV
  • Experience in preparing executive documentation including preparing agendas, compiling reports, and taking meeting minutes
  • Enjoy working with people from a diverse range of backgrounds and cultures
