  • Work arrangement: Part-time/flexible (3 days per week, with option for 1-2 additional days in peak periods)

  • Term (consultancy): 6 month contract, with possibility of extension

Reporting to the Steering Committee Chair/s, the Program Manager (PM) will play a key role in the operational responsibilities of AVLD, specifically to support the delivery of the 2023 5-day ‘Dialogue’ for 20 young leaders to be held in Vietnam in September 2023, and associated events and activities.

The successful applicant will be an experienced project manager possessing strong skills to coordinate AVLD volunteers, sponsors and stakeholders. The PM will be supported by a part-time Event Manager ^). The PM will need to quickly develop deep knowledge of AVLD's core programs and operations, and be comfortable engaging with diverse stakeholders working in event delivery through to government agencies.

Travel may be required to Vietnam in September 2023.

^The Event Manager is based in Ho Chi Minh City, Vietnam, has strong organisational knowledge of AVLD and reports to Co-Chairs.

Job description:

  • Responsible for planning, organising, coordinating and delivering the 2023 5-day Dialogue in September 2023 in Vietnam, including announcement (of delegates) events in both Australia and Vietnam in July 2023.
  • Coordinate volunteer and stakeholder meetings, i.e., scheduling, preparing meeting agendas, taking minutes, providing action lists and following up after meetings
  • Assist Co-Chairs and Policy & Program volunteers to develop policy briefs, briefing notes, proposals, etc.
  • Oversee, energise and coordinate tasks for the Event Manager and a team of skilled volunteers in Australia and Vietnam.
  • Provide secretariat support for online meetings of the AVLD Board and Co-Chairs.
  • Take direction from Co-Chairs, ensure progression of project workflows
  • Oversee and manage project budgets and provide weekly updates to Co-Chairs and monthly updates to the Board.
  • Assist AVLD Board and Co-Chairs
  • Other tasks as required to ensure a successful delivery of the Dialogue and all events associated with the Dialogue.

Requirements:

  • Project management experience, with strong time management and delegation skills, with the ability to work across different time zones (Australia-Vietnam).
  • Familiarity with event management (to work alongside an Vietnam-based event manager).
  • Strong written and verbal communication skills.
  • Ability to work effectively in collaboration with diverse groups of people.
  • Ability to work flexibly, including outside of business hours and some weekends to coordinate activities for volunteers.
  • Minimum Bachelor's degree, or equivalent of 5 years’ work experience.
  • Demonstrated experience and/or interest in the Australia Vietnam relationship (desirable).

Work arrangements:

AVLD supports a flexible working style and the structure of the organisation’s work means that most work is conducted online. The successful candidate can work flexibly from home and as such, can be based anywhere in Australia, although being Victorian-based is an asset.

Salary: Paid at a daily rate calculated within the salary range $70-80,000 (pro rata) to be determined commensurate with experience. The role is a consultancy, and therefore, superannuation, other leave arrangements do not apply.
