PRIME PURPOSE AND FUNCTION

Bowen Street Community Centre House is a non-profit organisation that offers a safe and inclusive place for the community to engage, connect and thrive. We offer a number of programs that support social participation and community engagement.

We are seeking a Childcare Administrator to support our Community Childcare.

THE ROLE

As Childcare Administrator at Bowen Street Community Centre in Camberwell.

The responsibilities include dealing with the day-to-day administration of our community childcare.

This is a diverse role which includes all aspects of childcare administration including expressions of interest, bookings, payments and CCS, parent communications and more. You may also be asked to cover staff absences in the childcare room from time-to-time.

Being based in the general reception area for the Neighbourhood House, you will also have the opportunity to speak with a wide range of community members and program participants. Although this role is predominantly childcare focused, you will need to learn the basics of reception and assist with general office duties.

This is a part-time fixed term 8-week contract, 18.25 hours per week. The successful incumbent must be available to work 8.45am -2:30pm three days per week. This position is covering personal leave and may become Permanent part time.

KEY RESPONSIBILITIES

Childcare Administration

  • Meet and greet children, families and visitors to the Centre.
  • Answer phone and email enquiries, provide families with support and assistance, including expressions of interest and tours, bookings, waitlist.
  • Processing statements, direct debits, assisting with Child Care Subsidy enquiries.
  • Set up new enrolments in Xplor.
  • Build positive relationships with children, families, educators, program staff and visitors.

General Office Duties

  • Reception, including resolving phone and email enquiries.
  • Assist with room hire enquiries and bookings.
  • Playgroup enquiries.
  • Support and assist community members visiting the Neighbourhood House.
  • Other reasonable tasks as requested by the manager.

REQUIRED SKILLS AND EXPERIENCE

  • Administration experience in Childcare or similar environment.
  • Qualifications in Early Childhood Education and Care desired.
  • Knowledge of Xplor and Proda is highly desirable.
  • Community sector experience will be highly regarded.
  • Understanding of Childcare Subsidy and family accounts.
  • Knowledge of childcare legislation, regulations and compliance requirements.
  • Excellent interpersonal and communication skills
  • Demonstrated capacity to work co-operatively as part of a team.
  • Demonstrated capacity to encourage and work well alongside volunteers.
  • Comprehensive skills in Microsoft Office suite.
  • Competent usage of Outlook Express and Internet.
  • Advanced problem solving and conflict resolution skills.
  • Ability to multi-task and respond in a calm manner to competing demands.
  • Ability to exercise discretion and respect confidentiality.
  • Experience in the Neighbourhood House sector.
  • An understanding of the not-for-profit community sector.
  • Working with Childrens Check
  • Police Check

EMPLOYMENT REQUIREMENTS

  • Minimum Certificate III in Children's Services or equivalent.
  • Valid Working with Children Check.
  • Employment conditional upon a satisfactory Police Check.

SUPPORTING MATERIALS

The requirement of the Administrative Officer role is to uphold best practice and work as part of a team to assist the Centre Manager to meet the day-to-day responsibilities of facilitating a range of community initiatives and programs to enhance wellbeing and community involvement.

The position requires an understanding and appreciation of the values that underpin Community Development and the pivotal role Neighbourhood Centres play in strengthening communities.

SPECIFIC

4 weeks annual leave to be taken at the end of term 4 during Centre closure. Time in lieu will also be taken during this time. School holidays are reduced working hours of two days in the two-week holiday period.

NOTICE OF TERMINATION

Your employment may be terminated by either party, by a period of notice as specified by the National Employment Standards/Neighbourhood Houses and Adult Community Education Centres Collective Agreement (2010). This does not affect the employer’s right to terminate your employment without notice where you are found to have engaged in serious and wilful misconduct.

  • Prepare and issue childcare application forms and rollovers and process these according to procedures.
  • Deal with enquiries (special needs to be referred to Co-ordinator).
  • Take bookings and cancellations and maintain day registers.
  • Administration tasks completed accurately and timely
  • All processes comply with BSCC Policy and Procedure
  • User surveys indicate satisfaction with BSCC administration processes.

Centre Administration and Enquiries

Objective – to manage day to day administration tasks and maintain a working knowledge of all activities and programs at BSCC to ensure excellent customer service to users
