ORGANISATIONAL OVERVIEW
Council on the Ageing (COTA Victoria) is the leading not-for-profit organisation representing the interests and rights of people aged over 50 in Victoria. For nearly 70 years in Victoria, we have led government, corporate and community thinking about the positive aspects of ageing.
POSITION OBJECTIVE
The primary focus of the Event Coordinator Volunteer is to assist in the coordination of events for COTA Victoria to showcase COTA and SRV’s work and bring together various stakeholders under the guidance of the Marketing & Communications Manager, and other staff members.
KEY RESPONSIBILITIES
- Under the guidance of the Corporate Services team and Marketing & Communications Manager, coordinate various event planning actions and functions..
- Assist in delivering various event planning actions ensuring that all deliverables are in line with the set budget and event management plan.
- Liaise with vendors, exhibitors, and stakeholders during the event planning and coordination process to ensure everything is in order.
- Assist in all event set-up, tear down, and follow-up processes.
- Adhere to set event budgets as directed.
- Under the guidance of the Marketing & Communications Manager and other staff members, book venues, entertainers, photographers, and schedule speakers, as per the event management plan.
- Conduct final inspections on the day of the event to ensure everything adheres to the event plan and COTA Victoria event management standards.
- Participate in the assessing and the debriefing process for an event’s overall success.
- Adhere to all OHS policies, procedures, and stakeholders’ safety standards.

KEY SELECTION CRITERIA
- At least 3 years’ experience as an event coordinator, preferable, but not mandatory.
- Well-organised with excellent multi-tasking abilities.
- Outstanding vendor management skills.
- Bachelor’s degree in hospitality management or public relations is preferred, but not mandatory
