The Opportunity

This position of Executive Assistant to CEO is a full-time permanent appointment and reports to the Chief Executive Officer. The primary role of the Executive Assistant (EA) to the CEO is to provide high level, accurate and timely executive support to the CEO and the broader Executive Team, supporting the organisation to achieve its purpose and organisational goals. The role is predominantly based in our Sydney CBD office, however, offers the opportunity to work from home on an ad-hoc basis, subject to Organisational priorities as directed by the Chief Executive Officer.

Primary Role Responsibilities

A trusted partner to the CEO, the Executive Assistant will be responsible for both dedicated and project-based support work. In this role, the successful candidate will:

  • Provide the full range of executive assistance support to the CEO.
  • Support the CEO in diary management. Arrange external and internal meetings, including with other organisational CEOs and the most senior levels of government.
  • Support the CEO in travel management. Understand and organise travel arrangements into capital cities, major regions and remote locations of Australia. Co-ordinate and organise key meeting schedules to optimise trip objectives. Ensure accompanying itinerary and papers are prepared.
  • Coordinate meetings with the Board, CEO, Office of CEO, Executive and Leadership teams.
  • Act as Minute Secretary for all Management Meetings and Steering Groups, including Agenda co-ordination, Papers collation and distribution and Minute taking.
  • Ensure that internal meeting requests to the CEO are properly prepared including: purpose, agenda and supporting documentation.
  • Support the CEO and Executive Team with presentation preparation and development of organisational documentation, using MS PowerPoint, MS Word, Adobe In-Design and MS Excel.
  • Support the Executive Team with discrete and regular projects and activities.
  • Coordinate significant and sizable organisational events, such as whole of organisation conferences and funder/stakeholder events.
  • Other project-based work as directed by the Chief Executive Officer.

Who are we looking for?

We are seeking a professional with minimum five (5) years’ experience as an Executive Assistant to CEO and Senior Management. The successful candidate will have highly developed relational skills, strong written and verbal communication skills, the ability to hold confidential information and act with discretion and unquestionable integrity.

The successful candidate will also be able to demonstrate:

  • Highly developed written and verbal communication skills; demonstrated ability to collaborate and work with senior leaders, Board of Directors and external stakeholders.
  • Highly developed interpersonal skills that demonstrate the professionalism and values of Many Rivers.
  • Ability to take on multiple tasks at one time while delivering attention to detail and accuracy.
  • Current experience and exposure in taking meeting minutes.
  • High proficiency in the MS Office suite, including MS PowerPoint, MS Word, MS Excel and MS Outlook and the ability to generate impactful PowerPoint presentations. Experience in using Adobe InDesign.
  • Agility and comfort with working across government, corporate and community sectors.
  • Event Management and Travel Management experience.
  • Undergraduate Degree whilst not essential, will be highly regarded.
