We are seeking a skilled and detail-oriented Executive Assistant to provide support and assistance to our Head of Philanthropy in a crucial role of managing correspondence, meetings, diary management and research.

This role would suit a person with experience in a corporate environment (including a legal, financial/professional services or political office).

JOB DESCRIPTION

We are seeking a skilled and detail-oriented Executive Assistant to join our family office as a part-time team member.

You will provide support and assistance to our Head of Philanthropy in a crucial role of managing correspondence, meetings, diary management and research.

This position offers flexible hours and an opportunity to contribute to the success of a dynamic and fast-paced family office philanthropy environment.

KEY RESPONSIBILITIES

Specifically, the role requires:

  • Managing correspondence for a busy Family Philanthropy office
  • Preparation of meeting agendas, including taking of minutes at and the distribution of relevant materials associated with quarterly board meetings
  • Maintaining up to date information on funds available for granting and the register of existing and ongoing funding commitments including annual commitments for the funding entities.
  • Undertaking research on organisations seeking funding
  • Preparation of pledge letters for signature
  • Supporting the Head of Philanthropy with diary management
  • Preparation of accounts for payment
  • Occasional event management for the Family Philanthropy office events/gathering
  • Liaising with current grantees and prospective grantees as required
  • Preparation of the annual Family Philanthropy Report in conjunction with the Head of Philanthropy.

REQUIRED SKILLS / KNOWLEDGE / EXPERIENCE

The required skills and experience may have been gained through a minimum of 5 years of experience working.

  • Previous experience dealing with sensitive and confidential information
  • Excellent verbal and written communication skills
  • Knowledge of Microsoft Office Suite
  • Ability to multi-task and be highly adaptable
  • Strong researching & reporting skills
