ActionAid works in more than 70 countries. ActionAid Australia’s Sydney office is based in Pitt St, CBD, a short walk from Martin Place. 

The role

As part of the Finance & Operations Team and supervised by the Chief Operating Officer, the Executive Assistant and Office Support provides administrative support across ActionAid Australia, including to the Executive Director and Board, with flexibility to respond across team environments. Responsibilities include administration, coordination of IT and Human Resources support, volunteer management, and coordination of facilities and supplier relationships.

The Executive Assistant and Office Support is the first point of contact for external party communication with ActionAid, other than donor-specific enquiries.

Due to the nature of this role, it is an office-based role with 3 days working in the office. 

As the ideal candidate for the role, you have:

  • Strong organisational and time management skills, and the ability to multitask and prioritise
  • Flexibility to respond to the team’s needs as required
  • Strong attention to detail
  • Ability to maintain confidentiality in supporting sensitive human resource matters
  • Experience in high level administration including working knowledge of Microsoft Office suite particularly Outlook, Teams, Word, Excel and PowerPoint
  • Good written and verbal communication skills including an appropriate telephone manner
  • Strong interpersonal skills and the ability to work as part of a team
  • Demonstrated enthusiasm, initiative, resourcefulness and cross-cultural understanding
  • A commitment to ActionAid’s vision, mission and values, including women’s rights
  • Desirable – previous experience with minute taking and supporting governance as well as experience working with outsourced IT and HR contractors to deliver effective services and support the team
