About the role

The Finance Officer is a member of the Finance Unit and is responsible for carrying out those budgetary, financial, accounting and payroll functions not performed by the Accountant and to service the customers of the AEU SA financial area. The Finance Officer is also responsible for relevant areas of governance within the Branch.

The Finance Officer reports to the AEU SA Branch Secretary through the AEU SA Accountant.

The Australian Education Union (SA Branch) represents the industrial and professional interests of educator members employed in the public preschool, primary, secondary and TAFE sectors in South Australia. We advocate and campaign for both the value and values of a strong, vibrant and high-quality public education system which is accessible to all South Australians and provides equitable opportunities and outcomes for all children and young people across the state.

The key responsibilities of this position include:

  1. Receive, distribute, process, monitor and reconcile accounts payable, accounts receivable and general ledger, including end of month and end of year procedures and, when necessary, payment of international money transfers and commission in accordance and compliance with approved standards.
  2. Assist with producing invoices for non-union subscription amounts, monitor payments and follow up outstanding amounts with correspondence requesting payments.
  3. Monitor and administer the banking functions, including the maintenance, reconciling and balancing of the bank accounts and petty cash account, including the daily banking of monies received and credit card facilities, to ensure adequate funds are available to cover expenditure.
  4. Ensure accuracy, timely preparation and payment of financial transactions are made in accordance with established procedures and with relevant approvals.
  5. Monitor and balance monthly expenditures.
  6. Assist with the preparation of staff payroll and ensuring the integrity and compliance of the payroll system and that the records are accurately maintained.
  7. Ensure all superannuation contributions and other payroll obligations are prepared and forwarded to the relevant organisations in a timely manner.
  8. Ensure appropriate digital filing and record keeping systems are implemented and maintained accurately and promptly for all financial transactions.
  9. Calculate expense and allowance claims, arrange approval and payment, in a timely and accurate manner for staff itineraries, members attending relevant event. training courses and Area and Branch Councils, etc.
  10. Ensure extreme confidentiality and discretion is maintained on all financial matters.
  11. Work with the Accountant to ensure the Branch adheres to all financial and governance requirements.
  12. Other ad-hoc duties as requested by the Branch Secretary or Accountant.
  13. Provide advice for requirements by:
    1. FWC - Fair Work Commission.
    2. AEC - Australian Electoral Commission.
    3. Auditors.
  14. Collate documentation to assist in the preparation of submissions.
  15. Assist in the maintenance, development and review of:
    1. Financial reports and returns.
    2. Annual reporting.
  16. Monitor information released from applicable governing bodies and communicate that accordingly to ensure compliance with the organisations regulatory, statutory and legal obligations.
  17. Provide advice through the Accountant to the Branch Secretary and Records Manager when conducting reviews of policies, procedures and systems in response to legislative changes and external reviews.
  18. Liaise with appropriate staff in relation to timeframes, deadlines and required governance reporting requirements.
  19. In collaboration with the Records Manager, ensure appropriate filing and record keeping systems are implemented and maintained accurately.
  20. Ensure extreme confidentiality and discretion is maintained on all governance matters.
  21. Contribute to improved member service and organisational effectiveness, by acting ethically, with honesty and fairness.
  22. Other ad-hoc duties as requested by the Branch Secretary or Accountant.
