<h3>ORGANISATION INFORMATON</h3>
The Australian Muslim Women&rsquo;s Centre for Human Rights (AMWCHR) is an organisation of Muslim women working to advance the rights and status of Muslim women in Australia. We are a non-religious organisation reflecting the sectarian, cultural and linguistic diversity within the Muslim community.

<h3>POSITION SUMMARY</h3>
The Operations Coordinator is responsible for supporting the daily administration and office management of the organisation, including all administrative and office support functions, providing high level administrative support to the Director of Business &amp; Operations, CEO, Board, and general operational support to all staff.
The Operations Coordinator makes recommendations to the Director of Business &amp; Operations on the implementation of operational and administrative systems and processes and takes a lead role in the ongoing development of administrative and knowledge management systems to improve organisational efficiency. The role is required to take a proactive and responsive approach to maximising the effectiveness of systems, processes and infrastructure for the organisation, with the ability to multitask and manage conflicting demands.
The Operations Coordinator has key responsibility for ensuring accurate and comprehensive record keeping requirements, as set out by AMWCHR management and funding bodies, are adhered to, as well as ongoing management of organisational publications, library and multimedia records. The role is also required to contribute to various organisational projects and initiatives as required including supporting the organising of events in community, engaging with external stakeholders, sessional contractors and service providers.
The Operations Coordinator is required to uphold the reputation and values of AMWCHR by ensuring that any person contacting the organisation is responded to in a professional and helpful manner. This involves high level client service, and the ability to take an organised and responsive approach in the workplace. Confidentiality and professionalism are essential to the role.
<h3>REPORTING</h3>
Reports to: Director of Business &amp; Operations

Key liaison: CEO, Management Team, Board, other staff
External Liaison: External stakeholders, contractors, suppliers, External Trainers and Consultants, Clients and Community members
<h3>KEY RESPONSIBILITIES</h3>
<ul>
<li>Conduct reception duties for the organisation, managing incoming calls and reception emails, including welcoming visitors to the AMWCHR and setting up for meetings where relevant.</li>
<li>Provide administrative and operational support and advice to the organisation and its staff, including supporting the CEO to coordinate logistics and stakeholder meetings.</li>
<li>Support the CEO in booking and preparing monthly board meetings, and ensuring governance details are up to date with the ACNC including membership.</li>
<li>Support the coordination of staff meetings, including preparing agendas and minute taking.</li>
<li>Oversee the maintenance of the office environment, stationary supplies, office equipment, PO Box, and kitchen supplies, including coordination and liaison with relevant external service providers and contractors.</li>
<li>Keep accurate and detailed records and maintain organisational registers relating to organisational assets, organisational equipment and other relevant registers.</li>
<li>Assist AMWCHRs external accountant to maintain financial records.</li>
<li>Ensure organisational administrative processes and systems are managed effectively and in a timely manner, including processing all correspondence, managing organisational bank accounts &amp; post office box, building maintenance, IT/office systems and infrastructure.</li>
<li>Maintain and manage effective and professional relationships with external contractors, suppliers and providers to ensure AMWCHR achieves best value for money</li>
<li>Develop and maintain organisational databases as required, including membership databases</li>
</ul>
<ul>
<li>Monitor, maintain and update the AMWCHR SharePoint site, developing, maintaining and continuously improving filing and record keeping systems for the organisation consistent with industry standards, including the management of organisational publications, library and multimedia materials.</li>
<li>Undertake events management as required, planning and coordinating event logistics, managing external and internal stakeholders, project teams within allocated event budgets.</li>
</ul>

<li>Undertake other duties consistent with this role and as directed by the CEO and the Director of Business and Operations.</li>
</ul>
<ul>
<li>Attend and participate in AMWCHR staff meetings, contribute to strategic and operational planning, development and management of policies and procedures and professional sharing.</li>
<li>Foster and maintain good working relationships with external stakeholders.</li>
<li>Model AMWCHR&rsquo;s values and associated behaviours within the AMWCHR and across external liaisons.</li>
<li>Maintain positive collegiate relationships with management and colleagues, reporting relevant issues and contributing to a professional and harmonious workplace.</li>
</ul>
<h3>KEY SELECTION CRITERIA</h3>
The recruiting panel will need to feel confident that the successful candidate will understand AMWCHR values, integrate the values into their work and demonstrate behaviours that reflect the values.

<li>Excellent written and verbal communication skills.</li>
<li>Ability to work independently and across teams.</li>
<li>Ability to take initiative and having a solutions-based approach</li>
<li>Ability to monitor own workload, pay attention to detail and ensure all work tasks are completed (particularly tasks that require long term work or periodic tasks) in an efficient and timely manner</li>
<li>Excellent interpersonal skills and ability to work as part of a highly culturally diverse team.</li>
<li>Excellent time management and organisational skills.</li>
<li>Advanced digital literacy skills in Microsoft suite, and experience using MailChimp.</li>
<li>Experience in project management and project delivery</li>
<li>Experience in events management.</li>
