Overall Responsibility

This position’s overall responsibility is to assist the Chief Finance Officer (CFO) in managing the day to day financial management requirements of the organisation and assisting in project accounting for our International projects.

Specific Responsibilities:

1. Financial Management

Responsible for financial management of the organisation, including:

  • Accounts payable – including paying incoming bills/invoices in timely fashion, processing of expense claims reimbursement, reconciling credit card statements
  • Accounts receivable – preparing appropriate tax invoices for customers; following up on payment of outstanding invoices; allocations of income in XERO.
  • International Money Transfers (IMTs) – disbursement of funds overseas for projects and payment of international invoices. Including following up of bank statements from recipients.
  • Banking –banking/receipting of major payments, grants and donations in XERO.
  • Audit accountability – working with the CFO to ensure the proper preparation and filing of all accounts paperwork to meet the organisation’s audit requirements.

2. Project Accounts Support

Assist the CFO in the management of project accounts, including:

  • Project acquittals – preparation of project acquittals according to donor’s requirements. Checking of acquittals received whether funds are spent according to budget.
  • Project ledgers – ensure correct allocation of project income/expenditure against specific projects. Follow up with relevant International Organisers if there are variances against budget.
  • Project partners – assist with capacity building and training of partners’ finance staff
  • Overseas office support – in collaboration with the responsible International Organisers, provide support to the local administrative/finance/management staff in our overseas offices regarding the financial management of their programmes.

3. Other Duties

  • Donations Processing – act as a back up for database officer to process donations in the Database
  • Admin – assist with office administration, including phone roster when reception is away and checking of office emails, ordering of stationery, assist staff with travel booking
  • Other duties as directed by the CFO

Selection Criteria

Essential skills:

  • Tertiary qualification in Accounting or Finance
  • At least 3 years of experience in the Not-for-Profit sector including management of grants from DFAT and International donors.
  • Excellent computer skills including Microsoft Office 365.
  • Excellent attention to detail and time management skills.
  • Experience in XERO
  • High level of administration skills and experience, including management of filing/records systems.
  • Ability to work without close supervision, initiate key administrative activities & manage work plans effectively.
  • Ability to handle conflicting urgent priorities and work cooperatively with other staff and partners while under tight deadline pressures.
  • Commitment to human rights, workers’ rights and international solidarity principles.
  • A high level of energy and enthusiasm and a demonstrated ability to meet deadlines.
  • Evidence of integrity and honesty with regard to financial management.

Other terms

  • This position will be based in Sydney with family and work-life-balance friendly flexible working arrangements, including a hybrid model blending WFO and WFH
  • Terms and conditions of employment are as per the Union Aid Abroad-APHEDA Enterprise agreement and involve family friendly and flexible work
  • 4 or 5 days per week, 37.5 hours full-time equivalent
  • Permanent with 3-month probationary period
  • Salary is according to Union Aid Abroad-APHEDA's EBA ($74,983-$90,029)
  • Superannuation (@15%) is additional
  • Salary packaging is available
  • 4 weeks annual leave plus additional Xmas-New Year period
  • Some International travel and out of hours work is expected
