The Opportunity

The APNIC Foundation's mission is to increase investment in Internet and digital development in the Asia Pacific region, through education and training, human capacity building, community development, research, and related projects and activities. The team itself is multicultural and diverse and passionate about the opportunity to build capacity (both people & infrastructure) to foster an open, stable and secure Internet, accessible to all.

As the Personal Assistant (PA) to the CEO of the APNIC Foundation you'll play a key role in proactively managing the CEO's calendar, correspondence, domestic and international travel commitments. You'll also provide valuable administrative support to the CEO by attending meetings with them, liaising with the Board and working with the rest of the Foundation team to ensure alignment of actions and activities.

On a day-to-day basis you'll work closely with the CEO, Board and all other team members to:

  • Proactively manage the CEO's emails, correspondence, calendar, and expense documentation; scheduling meetings, appointments, and events, and ensuring optimal time management
  • Co-ordinate and confirm meeting logistics, including venue booking, travel and visa arrangements, and preparing necessary materials
  • Maintain an accurate action list and proactively follow up on outstanding items with the CEO, team members and external stakeholders
  • Liaise with external stakeholders (e.g. government, private sector, multilateral agencies) for meetings, follow-ups and correspondence
  • Liaise with and provide support to the Foundation Board, to co-ordinate meetings, agendas, board papers, and travel arrangements

As the Foundation supports the Asia Pacific region, the successful candidate will be required to undertake some international travel and work outside of regular business hours to attend meetings.

The recruitment process will include two rounds of interviews, a practical and pre-employment checks (reference and police checks). The first round of interviews for the role will commence in early October 2024.

About You

In order to be set up for success, on your first day we'll expect you to have:

  • Previous experience as a personal assistant
  • Strong organisational and time management skills
  • A strong work ethic and 'can-do' attitude
  • A calm and unflappable attitude to working under pressure and to tight deadlines
  • Strong interpersonal skills, including highly developed written and verbal communication and ability to build proactive working relationships with a range of internal and external stakeholders
  • Meticulous attention to detail
  • The ability to take initiative, as well as follow instructions
  • The ability to be resourceful, innovative and proactive in approach to responsibilities and carry out tasks with minimal supervision or direction
  • Reliability, discretion and an understanding of, and adherence, to confidentiality
  • An understanding of international protocol and the ability to work to international time zones, including for meetings and correspondence requirements
  • Highly familiar and competence with software suites such as Microsoft Office (Outlook, Word, Excel, and PowerPoint), online meeting applications (e.g. Zoom, MS Teams) and ideally Atlassian applications

We don't expect you to be an expert in everything and place a strong emphasis on learning and development. So whilst it would be nice if your background included the below, we'll support you to grow and learn them:

  • Ability to speak / read / write a language from the Asia Pacific Region 
  • Social media skills
