About the Role:

Are you passionate about making a real difference in the lives of people seeking asylum? As a Reception Coordinator at the Refugee Resource Hub, you'll be the first welcoming face for those in need, ensuring they feel respected and supported.

You'll support a team of dedicated volunteers, coordinate vital services, and help create a positive, inclusive space for everyone who walks through our doors. This is a unique opportunity to play a key role in an impactful, community-driven environment where your efforts truly matter.

Key Accountabilities:

  • Reception Management: Serve as the first point of contact for people seeking asylum and visitors, ensuring they feel welcomed and supported.
  • Volunteer Support: Assist with recruiting, training, and supervising reception volunteers, ensuring they are equipped to respond to inquiries and support service delivery.
  • Communication & Enquiries: Manage all phone calls, emails, and enquiries, ensuring they are assessed, responded to, and documented promptly.
  • Appointment Coordination: Schedule and manage appointments with internal and external service providers for members, ensuring smooth service access.
  • Data Management: Maintain accurate records of enquiries, interactions, and service usage, providing regular reports to the RRH Team Leader.
  • Team Collaboration: Work closely with the RRH Team Leader, welfare workers, and other service providers to streamline operations and support the Central Access model.
  • Operational Support: Develop, implement, and maintain a reception operation manual, ensuring best practices and smooth functioning of the reception area.
  • Administrative Tasks: Assist with general administrative duties, including resource development, printing, and preparing materials for service providers.

Essential Skills, Experience & Qualifications:

  • Strong organisational skills with the ability to manage multiple tasks in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with administrative duties.
  • Excellent verbal and written communication skills, able to engage and relate to people from diverse backgrounds.
  • Experience supporting and coordinating volunteers, including training and ensuring a positive environment.
  • Ability to respond calmly and effectively to challenging situations, demonstrating good judgment and adaptability.
  • Cultural competence and the ability to work effectively with individuals from diverse backgrounds.
  • Ability to work both independently and collaboratively with colleagues.
  • Strong attention to detail for managing data and records accurately, ensuring proper documentation and reporting.
  • Passion for human rights and commitment to the well-being of people seeking asylum, aligning with organisational values.

Desirable Skills & Experience:

  • Lived experience of seeking asylum or strong understanding of the challenges faced by asylum seekers.
  • Knowledge of asylum seeker visa conditions and barriers faced in Australia.
  • Experience in community services or a similar role, ideally within the refugee sector.
  • Ability to speak a second language or familiarity with trauma-informed care practices.
