Based in Carlton South, the Australian Services Union Victorian Private Sector Branch is seeking to appoint a full-time Executive Office Manager to support the Branch’s leadership, and general office administration and membership team.

As part of a small team, the Executive Officer Manager is responsible for providing comprehensive administrative, organisational, and operational support to drive the day-to-day functions of the Branch and support the Executive.

Key responsibilities:

  • Coordinate and support the office and membership team in day-to-day operations and member support.
  • Produce and meet deadlines for governance and regulatory reporting including to Branch Executive, AEC, VEC, ALP, Fair Work, and auditor.
  • Respond promptly to membership and delegate enquiries via telephone, email, letter, and other forms of communication.
  • Order and maintain office stores and supplies responsibly, efficiently, and effectively.
  • Facilitate end-to-end provision of Delegate training in conjunction with the Union Trainer.
  • Ensuring smooth operation of IT systems via our IT provider.
  • Draft and manage HR contracts, staff records and onboarding/offboarding processes.
  • Administer and scope potential enhancements to contracts, systems and delivery of services to support Branch staff and members.
  • Planning/managing major events, conferences, travel and meetings.
  • Work collaboratively to support all functions of the organisation including the Executive, Finance Manager, and industrial team.
  • Assisting with all other general office and administrative duties as directed by the Branch Secretary and Branch Executive.

  • Excellent written, verbal communication and interpersonal skills.
  • Excellent computer literacy skills including MS Office Suite. Experience with membership systems or similar preferred but not essential.
  • Ability to set priorities when faced with competing demands and short timeframes.
  • A high attention to detail, well developed organisational and administrative skills.
  • Ability to work with a range of stakeholders.
  • Proven ability to work collaboratively and coordinate people.
  • Commitment to trade union principles.

Salary:

Salary range of $96,598- $107,245 depending on experience and monthly RDOs and 16% superannuation.
