The Australian Childhood Foundation (The Foundation) will play an important role in the ACT Government's groundbreaking Out of Home Care (OOHC) reform, a transformational initiative outlined in the Next Steps for Our Kids strategy. This reform is all about creating a more responsive, inclusive, and compassionate OOHC system, focused on critical priorities like providing stability for children in care, working closely with Aboriginal Community Controlled Organisations (ACCO's), supporting early restoration, ensuring smooth transitions for young people leaving care, strengthening cultural connections, and building a flexible, needs-driven service system.

About the Role:

As the Administration Coordinator in the OOHC program, you'll play an important role in supporting the day-to-day administrative operations of the program. In this role you will provide seamless program administration, supporting operational meetings, and offering critical programmatic support across our programs and services. If you're a highly organised, proactive problem solver with a passion for driving efficiency, then this is the opportunity for you.

As our Administration Coordinator, you will:

  • Maintain and organise key administrative systems, including file registers, client records, and central filing systems.
  • Coordinate and manage operational meetings, training sessions, and reflective practice, ensuring logistics, scheduling, and documentation are handled efficiently.
  • Oversee the registration of new clients into Australian Childhood Foundation databases.
  • Support carers by managing records, processing documentation, and facilitating communication between carers, families, and the program.
  • Provide administrative support to program staff, including accounting and data management processes.
  • Manage surveys, feedback collection, and maintain updated induction packs.
  • Coordinate IT hardware deployment and provide infrastructure support for staff.
  • Oversee financial and administrative tasks, including processing credit card purchases, arranging invoices, and tracking funding expenditures.
  • Support office maintenance, infrastructure, and procurement, including setting up new offices and maintaining records.
  • Handle general administrative tasks such as liaising with couriers and suppliers.
  • Play a key role in ensuring the smooth operation of the program by providing essential support to staff, carers, and the wider service network.

About you

We are looking for someone who has:

  • Experienced in providing administrative support within community-based, social services, or similar settings.
  • Skilled in managing databases, maintaining accurate records, and handling sensitive and confidential information.
  • Proficient in coordinating meetings, including scheduling, minute-taking, and managing logistics for operational or program-specific meetings.
  • Adept at maintaining client registers, ensuring data accuracy, and supporting program-specific administrative needs.
  • Experienced in developing and maintaining administrative systems that improve efficiency and accountability in program operations.
  • Knowledgeable in IT hardware coordination, deployment, and providing support to staff across multiple locations.
  • Skilled in setting up and maintaining office facilities, equipment, and infrastructure to support smooth day-to-day operations.
  • Culturally aware and aligned with the values and sensitivities required when working with First Nations communities.
