We are seeking a Volunteer Engagement and Project Coordinator to join our dynamic team. This role is ideal for a highly organised and proactive individual passionate about volunteerism, stakeholder engagement, and project coordination.

Position Overview:

The Volunteer Engagement and Project Coordinator will be responsible for managing volunteer engagement processes, coordinating projects, and building strong relationships with stakeholders. This role ensures that all projects align with AWVRB’s goals, meet deadlines, and comply with the National Standards for Volunteering.

Objectives of the Role:

  • Liaise with stakeholders to define project requirements, scopes, and objectives that align with organisational goals.
  • Coordinate internal and external resources, ensuring projects remain within scope, schedule, and budget.
  • Analyse project progress and adapt scope or timelines when necessary to achieve optimal results.
  • Interview and select volunteers for registered not-for-profit organisations as per funding requirements.
  • Match volunteers to suitable roles based on their skills and interests, ensuring appropriate referrals.
  • Familiarise yourself with local AWVRB registered members and community-based volunteer-involving organisations (VIOs).
  • Manage organisation membership registrations and maintain accurate records.
  • Develop volunteer position descriptions as required.
  • Create and develop monthly reports and quarterly newsletters as directed.
  • Manage social media updates and share new stories with administrative support.
  • Ensure adherence to the Australian Standards for Volunteering and best practices.
  • Achieve organisational objectives while maintaining compliance with standards and guidelines.

Key Responsibilities:

  • Organise all aspects of projects, ensuring alignment with timelines and deliverables.
  • Develop and maintain a project performance database to track progress and milestones.
  • Gain proficiency in VIKTOR (client management system) to manage volunteer and project data.
  • Effectively allocate and monitor resources to optimise project efficiency and outcomes.
  • Identify and report project risks and outcomes to the Operations Manager, escalating issues as required.
  • Serve as the communication link between the Operations Manager, General Manager, external partners, and VIOs.
  • Strengthen partnerships with external agencies and community organisations.
  • Establish and maintain ongoing relationships with client stakeholders, providing regular project updates.

Key Skills and Attributes:

  • Strong project management skills with a proven ability to coordinate multiple projects simultaneously.
  • Excellent interpersonal and communication skills to engage with diverse stakeholders.
  • Ability to work independently and as part of a collaborative team.
  • Strong organisational skills and attention to detail.
  • Proficiency in client management systems (experience with VIKTOR is an advantage).
  • Adaptability and problem-solving skills to manage evolving project needs.

Qualifications and Experience:

  • Relevant tertiary qualification in project management, community development, or a related field (or equivalent work experience).
  • Experience in volunteer coordination or working with not-for-profit organisations is desirable.
  • Understanding of the National Standards for Volunteering is advantageous.
