Purpose of the Position
The Higher Degree by Research Candidate Relationship and Liaison Officer (CRLO) is responsible for providing quality proactive and reactive support to Aboriginal and Torres Strait Islander students. Contributing to the success and retention of current Batchelor Institute higher degree by research Aboriginal and Torres Strait Islander students through service excellence is key to the role.
This position is based within the Graduate School at Batchelor Institute’s (BI) Alice Springs campus and is key to maintaining healthy and productive candidate/Institute relationships. The CRLO is responsible for Institute wide promotion and provision of support, working alongside student administration and operations teams. A degree of autonomy and self-management is required, as this role requires a driven professional to provide high level structural and administrative support to higher education and research division.
The Graduate School is an energetic and growing environment that exists to facilitate Higher Degree research success. This position works with the current CRLO and Academic Program Leader to liaise with candidates, field enquiries, ensure minimum requirements are met and adhered to. This is an administrative position that will require a working knowledge of BI enrolment and reporting systems, including progress reporting, Callista, Adobe forms, MS Word, Excel and other software as appropriate.
Duties
- Implement frontline face-to-face, online and over the phone relationship-building practices with Aboriginal and Torres Strait Islander students to tailor-make individual student support programs, where required, in conjunction with academic staff.
- Plan, develop and implement monitoring systems to ensure achievement of milestones, completions and accountabilities and Candidate research project reports.
- Review and report on the HDR reporting system. This will include updating the level of information required for 6 monthly review with students being required to provide examples of work and detailed supervisor statements.
- Identify at-risk students through attendance monitoring, assessment submission, Library use and Moodle usage, and make recommendations to academic and support staff, as appropriate, on actions needed to address potential issues.
- Maintain knowledge, and contribute to the timely, effective and consistent application, of all relevant policy, compliance and legislative requirements, including BI Policy and Procedure, Indigenous Student Success Program (ISSP) and the Higher Education Support Act (HESA) 2003 across success and support initiatives and administrative processes.
- Regularly contact and liaise with student body, maintain a minimum standard of resources, BI policy, and candidate reporting requirements
- Investigate and report on successful retention initiatives at other colleges/universities to identify best practice policies, practices and processes and develop proposals based on research outcomes.
- Work collaboratively and proactively with academic and professional staff members of the Institute, undertake committee servicing, and participate in meetings, team development initiatives and other reporting, as required.
- Regularly monitor Graduate School inbox and actively promote the Institute as a preferred place of learning in a culturally safe space.
- Undertake administrative tasks to support Graduate School and across the Higher Education and Research Division more generally, including ensuring appropriate paperwork to facilitate payment of scholarships, invoices etc.
Selection Criteria
- A lived experience of issues facing Aboriginal and Torres Strait Islander people engaging in higher education and ability to communicate effectively to support them to complete their studies.
- Demonstrated ability to work within a small team within a First Nations Institution, and also to work independently as needed.
- Understanding of academic and administrative processes or preparedness to learn.
- Ability to deal respectfully with confidential and sensitive information and act with discretion.
- Demonstrated experience in the use of computer-based applications, such as MS Outlook, Word, Excel, PowerPoint, SharePoint, Teams and record management systems.
- Well-developed organisational skills and proven ability to effectively prioritise and manage workloads to respond to tight deadlines.
- Highly effective interpersonal skills including proficient written and oral communication which can be adapted to meet the needs of people from all educational levels.
- Understanding of Work Health and Safety principles and practices, and ability to comply with Institute WHS Policies and Procedures.
