THE ROLE.

We are seeking a highly motivated and customer-focused individual to join our team as a Factory and Events Support Specialist on a Fixed-Term contract. This role will be crucial in supporting both our factory operations and event coordinating tasks at our Keysborough location. You will handle a variety of responsibilities ranging from customer service to event execution, ensuring operational excellence and customer satisfaction. This role is ideal for someone looking to grow within a startup environment and make a significant impact in a flexible and dynamic setting.

This role has the potential to grow into a permanent position with increased responsibility and benefits for the right candidate.

KEY RESPONSIBILITIES.

Customer Service:

  • Manage the 1800 number, respond to basic customer inquiries via email, and prepare quotes.
  • Build and maintain strong relationships with customers, understanding their needs and providing proactive solutions.
  • Act as a key point of contact and escalation for customers, addressing their concerns efficiently and ensuring their satisfaction with our services.
  • Provide insights and feedback to contribute to ongoing improvements for our customers.

Administrative Support:

  • Handle customer-related tasks on Xero including invoices and credit notes.
  • Support event planning and logistics, including booking couriers and sending samples to customers.
  • Assist Leadership Team with administrative tasks such as preparing financial reports and tracking business metrics to support leadership decision-making.
  • Office Management tasks such as organising team events, networking opportunities, office snacks, setting up desks, and ordering IT equipment.
  • Explore alternative suppliers or solutions to enhance cost-efficiency and product quality where requested.

Factory Support

  • Helping the warehouse team with washing cups where additional support is required
  • Pack orders and prepare them for shipment or event use, ensuring accuracy and timeliness in order fulfilment.
  • Support drafting and review of process documentation and maintaining existing processes
  • Assist with various tasks around the factory, such as moving items, organising supplies, and helping to maintain a clean and safe work environment.

SKILLS AND EXPERIENCE

  • Direct customer service experience is essential, with a strong capability in managing both in-person and phone interactions.
  • Experience in event planning or working under tight deadlines.
  • Some experience using tools like Google Drive and Canva; basic graphic design skills are a plus.
  • Excellent communication skills, problem-solving abilities, and a proactive attitude.
  • An active interest in sustainability
  • Strong written and verbal English skills.

MUST HAVE:

  • Be authorised to work in Australia.
  • Available to work from 9am to 5pm, with flexibility as needed.
  • Reliable vehicle and full driver's licence; physically able to support factory and event demands including lifting and carrying boxes.
  • Experience with warehouse equipment is useful but not essential
