Role Summary: We are seeking a Project Manager to support the Network & Insights team to deliver learning programs, events, and end to end project management for a diverse portfolio of initiatives.

The opportunity

We are seeking an experienced and dynamic Project Manager with strong project coordination, events management, and online learning support experience, who can work across multiple and mixed projects. Important to your success in this role will be your ability to build relationships and manage projects to time and budget.

Your key accountabilities will be:

Project Coordination and Management

Coordinate end-to-end projects including setting up and overseeing project management systems, coordination of delivery team, tracking progress, preparing relevant project material and assisting the team to deliver successful network-based initiatives that support communities and other partners.

Financial support

Collate and review project financial information, monitoring project budgets and ensuring costs are within scope, in order to contribute to the financial sustainability of initiatives.

Event and Online Learning Coordination

Oversee and coordinate CFI’s in person and online events from sourcing venues, managing ticketing and booking, scheduling, managing event budgets, coordinating delivery teams, technology/online delivery support, supporting marketing and comms for learning programs, and content uploading the learning management system to ensure events run smoothly and are delivered within budget and timeframes.

Travel Coordination

Support the Networks & Insights team with all travel arrangements from taking requests for travel, sourcing best providers, booking flights and accommodation and managing the payments to ensure costs are managed effectively and the process is executed smoothly.

Client and Partner Administration

Work with the Operations team to apply and establish user-friendly project administration standards and processes for the Networks & Insights team including contract administration, project delivery coordination, client/customer relationships, basic data management and analysis, and reporting to enable projects to contribute to successful outcomes.

To be successful in this role you will be:

  • 3+ years project management experience, across multiple and complex projects in a fast-moving organisational setting.
  • 3+ years customer/client service and relationships experience with mixed stakeholders (e.g culturally diverse community members/groups, government, non-government organisations, service providers, philanthropic organisations, and/or researchers.)
  • Technical skills and demonstrated experience in supporting online and in person events and learning delivery, with experience of learning management systems or equivalent
  • 2-3 years experience reviewing business processes and systems to identify and contribute to improvements, working alongside key stakeholders across organisations.
  • Experience designing, implementing, and improving operational and project processes and tools to track delivery with reporting including risk and opportunity management
  • Exceptional writing and verbal communication skills, including experience producing project materials, marking and communications copy, and acquittal reports.
  • Strong time management skills and the ability to deliver multiple projects is essential.
  • Super user capability for LearnWorlds, Zoom, Harvest, Dropbox, Asana, Presentations, Excel and Work.
  • Analytical skills for insight generation and visual/graphic design skills (desirable, relevant, not essential)
  • Context knowledge of systems change, social impact, collaboration and/or community-led change approaches (desirable, relevant, not essential)
