Child’s Play Qld provides professional Psychological services primarily to children aged 3–18 years, and increasingly with adults. Our Operations team is dedicated to working with our experienced therapists as they support clients through their therapeutic journey. Based in Holland Park West, Brisbane, we are a small and passionate team committed to making a meaningful impact in the lives of our clients.

About the Role

The Client Support Administrator plays a key role in delivering and improving the day-to-day operations of our clinic. This position is ideal for a bright, friendly self-starter, who enjoys interacting with our clients and their loved ones, as well as contributing to a collaborative work environment where fun is a part of how we go about it.

Key Responsibilities

Operations Team participation

  • Build rapport and foster great relationships with our multiple stakeholders – Allied Health therapists, our therapy clients and their loved ones, and referrers.
  • Identify and support the implementation of systems and process improvements, so Operations service is efficient and consistent.
  • Optimise our use of the Client Management System (Zanda / PowerDiary), Xero and other technology platforms and subscriptions as appropriate.
  • Contribute to our website and social media presence, via content creation, maintaining up to date information.
  • Support Marketing campaigns as needed.

Operations Service delivery

  • Work with the Practice Manager to prioritise work tasks and priorities within your role on a continual basis.
  • Serve as the first point of contact for families, providing a welcoming and professional experience (Reception duties).
  • Deliver our client support service, with the support of the Practice Manager and the Operations team.
  • Manage therapists’ diaries, including scheduling and forward planning.
  • Collect and manage client information, ensuring confidentiality and accuracy.
  • Process payments, Medicare claims, and manage accounts, including EFTPOS.
  • Perform general operations duties to support the therapists.
  • Maintain high standards of cleanliness and order within the clinic.
  • Incoming and outgoing calls. Answer new and existing Client Email Enquiries.
  • Manage the Childs Play Qld WaitList.
  • Onboard new clients, including obtaining appropriate client documents.
  • Proofread and Fax / Email Reports and Letters.
  • Other administration tasks as required.

About the ideal candidate

  • Technical Proficiency: Experience with Zanda/PowerDiary practice management software, Medicare processing, NDIS, EFTPOS systems, and the Microsoft Office suite (Outlook, Word, and Excel).

  • Preferred Experience: Previous experience in a clinical practice or allied health operations role, ideally contributing in a service team through a growth phase.

  • Customer Service Skills: Excellent communication skills with the ability to build positive relationships with clients and team members.

  • Organisational Skills: Excellent time management and attention to detail.

  • Personal Qualities: Positive, proactive, self-motivated, and capable of working both independently and as part of a team.
