Overview
The Community Housing Industry Association NSW (CHIA NSW) is the peak industry body for not-for-profit community housing providers in NSW. Our members develop and manage high quality affordable housing for people on low incomes.
The Administrative Officer is part of the Office Services Team and is responsible for providing diary and administrative assistance to the CEO, providing administrative support across the organisation, reception, attending to the office environment, and project support as required.
The position description may be varied to reflect changing organisational priorities.
Work Environment

Individuals will be expected to manage their workload independently and work in partnership with others, both within and outside the organisation.
Key Responsibilities
Provide support to the CEO:
- Assist with diary management
- Arrange travel and accommodation
- Assist in the coordination of Board and Sub-Committee meetings.
General Administrative Support including Reception:
- Attend to reception during business hours (9am-5pm)
- Answer queries by employees and clients
- Distribute and store correspondence (e.g. letters, emails and packages)
- Book meeting rooms as required
- Arrange travel and accommodation for staff, board, and external parties
- Maintain and update organisational databases
- Document layout, proof-reading and editing as required
- Undertake other administrative tasks at the direction of the Office Manager as required.
Office Environment and Equipment:
- Liaise with suppliers
- Maintain the office environment: furniture, equipment, recycling and general cleanliness
- Manage the general upkeep and tidying of the kitchen area
- Maintain office supplies, stationery and kitchen items
- Manage office equipment including copier, postal meter, phone system
- Administer office key cards and liaise with building manager
Assist with Offsite and Onsite Events and Training:
Assist with the coordination of events such as training, seminars, workshop, meetings, and conferences as required, including but not limited to:
- Assist with mailouts and other methods of promotion
- Organise catering
- Coordinate participant lists, name tags, attendance sheets
- Assist with venue set up, including equipment
- Assist the Events Coordinator with other onsite logistics as required
- Assist with travel and accommodation arrangements as required.
Service Delivery and Project support:
- Work closely with other teams to provide seamless administrative support and ensure efficient workflow
- Provide regular and ongoing support working with Tenant Satisfaction Survey business including opening mail, scanning documents, and data entry
- Support the Office Manager from time to time with financial tasks such as generating invoices, depositing cheques, managing petty cash, and entering payments
- Support WHS processes and act as organisational Fire Warden
- Assist with other organisational projects as required
- Take minutes of meetings as required
- Perform duties as per organisational policies.
Selection Criteria
Essential
- Ability to work autonomously, to be proactive, self-directive and self-motivated
- Ability to work within a team environment
- Excellent communication skills, written and spoken, and a professional manner
- Excellent keyboard skills, literacy and numeracy
- A thorough understanding of Microsoft Office software (Word, Excel, Outlook, Powerpoint etc) as well as a willingness to learn other programs and systems
- Ability to manage competing priorities and meet targets in a timely manner
Desirable
- Strong problem-solving skills
- An understanding of the purpose of a member-based industry association
- An understanding of, or willingness to learn about, the social housing sector
- Experience with MYOB or similar accounting packages
- Experience working with Word Press or similar website management software.
