COPE – Centre of Perinatal Excellence – is seeking a highly organised and proactive Business & Operations Coordinator to provide maternity leave cover for a valued team member. This 6-month role is ideal for someone who thrives in a dynamic environment, has a sharp eye for detail, and is comfortable juggling a variety of responsibilities spanning finance, HR, executive support, and general administration.
Collaborating closely with the COPE leadership team, this role offers an excellent opportunity for individuals seeking to enhance their expertise and advance their careers in business operations or finance management within the charity sector.
Key Responsibilities
HR & Executive Admin Support:
- Provide basic HR administration and record-keeping.
- Support the CEO with calendar and email management, prioritising tasks and coordinating internal and external meetings.
Board Administration:
- Schedule and coordinate Board meetings.
- Prepare and distribute agendas, reports and minutes.
- Track and follow up on action items.
Office & General Admin:
- Format and prepare professional documents and presentations.
- Organise travel bookings (flights, accommodation).
- Manage print and postage requirements for brochures/publications.
- Provide front-line support – answering calls, relaying messages, preparing ad hoc reports.
- Co-ordinating IT support with external managed service provider.
- Booking meeting rooms and facilities.
Finance & Accounts (Xero):
- Manage Accounts Payable: Upload and code invoices, set due/planned payment dates, prepare ABA files for weekly payments, and issue remittance advice.
- Manage Accounts Receivable: Create and send client invoices, follow up on payments.
- Conduct weekly bank reconciliations in Xero.
About You
You are:
- Proficient in Xero (or a willingness to learn), Outlook, and Microsoft Office (especially Word and Excel).
- Highly organised with excellent time management skills.
- Attention to detail and willingness to grow and learn.
- A confident communicator and team player who can work autonomously.
- Experienced in office administration, with a strong understanding of basic finance processes.
- Comfortable managing confidential information with discretion.
Experience supporting executive or board-level functions is a plus.
