The Role

As CIC’s Super Coordinator, you will play a key role in ensuring CIC programs are delivered seamlessly, schedules are optimised, and stakeholders experience CIC as a well-oiled machine. You will be the person behind project allocations, facilitator scheduling, and overall program coordination, making sure everyone—from facilitators to schools to project partners—feels supported, prepared, and excited to work with CIC. The three key elements of the role are detailed below:

  • Delivery Team Coordination & Support
    • Ensure that CIC’s coordination is best-in-class – people should say, “Everyone loves working with CIC because they are super coordinators."
    • Support team members to navigate scheduling and delivery needs, providing guidance and solutions.
    • Ensure team members understand what success looks like for each project.
    • Work with other parts of the team to ensure that delivery meets the needs of our partners and wider team.
    • Support continuous quality improvement efforts.
  • Project Allocation & Scheduling
    • Allocate projects to Project Coordinators & Facilitators, ensuring smooth workflows and aligned schedules.
    • Manage facilitator scheduling, making sure the right people are in the right place at the right time.
  • Overarching Coordination & Process Optimisation
    • Oversee and refine project coordination workflows to drive efficiency.
    • Manage logistics (e.g. travel) and scheduling at a national level, ensuring seamless program execution.
    • Ensure alignment between the School Partnerships (recruitment) and Delivery functions, and Admin Support.
    • Develop and implement systems that streamline coordination, scheduling, and reporting.
    • Build coordination blueprints that enable scale and efficiency.

  • Master of coordination & logistics. You have experience coordinating people, projects, and logistics across multiple locations. You know how to balance the moving parts, problem-solve in real time, and keep everything on track.
  • Big picture thinker with attention to detail. You can see the whole system, but you also sweat the small stuff to ensure seamless execution.
  • Leader of people & processes. You love working with teams, setting them up for success, and ensuring they have the tools and information to do great work.
  • Super problem solver. You anticipate challenges before they arise and implement proactive solutions to keep things running smoothly. You also have a solutions mindset and embrace new ways of working to enhance coordination and efficiency.
  • Tech & systems savvy. You are confident using digital business systems, scheduling software, and workflow tools to optimise efficiency.
  • Doer’s orientation. You’re amazing at getting things organised at speed (even when you don’t have all the answers).

In addition to this, you will have:

  • Experience in project coordination, logistics, scheduling, or operations.
  • Proficiency in business systems and tech tools (Google Suite, scheduling platforms, project management tools).
  • Strong organisational and stakeholder management skills.

Qualifications & Experience

  • 2+ years of experience in a fast-paced coordination, operations, or project management role.
  • Current Working with Children Check.

Salary and Benefits

  • Salary will be based on experience.
  • The role can be either 0.8 or 1 FTE (4-5 days per week).
  • We are open to discussing flexible working arrangements, such as working within school hours.

Where We Work

This is a Melbourne-based hybrid role. Team members have a membership to a co-working space in the CBD, and typically work in the office 3-days/week.
