About the role:
Employed on a Part-Time basis (0.6), this role is based in Footscray and provides high level Executive and administrative support to the CEO and Executive team at On the Line. The Executive Assistant performs a full range of secretarial and administrative support functions, including prompt, courteous and effective communication with internal and external stakeholders, to ensure the smooth and effective administration of the Executive office.
- Provide secretarial support to the CEO and Executive team, including preparation of documents, communications, presentations and reports, meeting management and ad hoc support as required
- Provide administrative and logistical support to all aspects of corporate governance, including Board papers, contracts and governance requirements
- Coordinate all travel requirements for the Executive team and Board
- Manage corporate credit card spending and monthly reconciliation of expenses
- Organise, attend and minute various management meetings as required
- Maintain the Executive Support Office in a presentable and functional state
- Act as a liaison point between the Board, the office of the CEO

Skills and experience:
Essential selection criteria:
- Substantial experience supporting an Executive manager
- High degree of professionalism and judgement with the ability to maintain a high level of confidentiality
- High-level written and oral communication skills and the ability to communicate and liaise effectively and sensitively at all levels, both internally and externally
- Strong organisational skills, including the capacity to successfully manage competing priorities, maintain attention to detail and meet deadlines
- Ability to balance conflicting priorities and to work to deadlines
- Advanced skills in MS Office applications including Word, Excel and PowerPoint
- Capacity to work independently with minimal direction and collaboratively in a team environment
- Demonstrated experience in organising workshops and meetings, including preparation and distribution of minutes and papers
- Tertiary qualifications desirable
- A current National Police Records check (or willing to apply for one)
