ABOUT THE ROLE

We are looking for an experienced Office Manager and EA to join us full time. This role will report to the CEO, and is based in Sydney.

It’s an exciting time for DCA, and for D&I in Australia. We have experienced significant growth in our membership and overall business. We are looking for an experienced office manager and/or EA to help with the smooth running of the organisation and partner with the team to help nurture our amazing culture and achieve our organisational goals.

In this role you will:

  • Support the CEO with diary management and day to day tasks
  • Maintain our physical and remote spaces, such as liaising with our shared office space facilities, ordering supplies and creating a supportive and collaborative digital environment
  • Support in finance tasks such as: accounts payable and receivable, invoice management, pulling reports, expenses, supplier onboarding, liaising and supporting our external finance provider
  • External facing responsibilities, such as answering our main phone line, responding to member queries, working with senior external stakeholders and partners
  • Assist with HR tasks such as document creation, leave management and payroll support (with external finance provider)
  • Board meeting administration
  • Book and manage travel for our team and board members
  • Help in the preparation and management of staff events
  • Meeting management and minute taking
  • Format, amend and collate content to create presentations for external and internal use

SELECTION CRITERIA

Relevant Experience:

  • Approximately 5 years in a similar role
  • Experience in accounts payable and receivable
  • Experience in Xero or similar finance/payroll systems
  • Experience working with a CRM, MS platforms highly desirable
  • Experience in creating presentations
  • Experience in supporting a CEO or Director
  • Experience in travel booking and management
  • HR administration experience
  • Experience with meeting management and minute taking
  • Experience and confidence in working with senior stakeholders
  • Experience in external facing responsibilities such as dealing with external queries via phones/emails, working with senior external stakeholder and supplier management
