ROLE STATEMENT

EDV is looking for a highly organised and detail-oriented Operations Support Officer to join our team. In this varied and busy role, you will support the smooth and efficient running of our day-to-day operations and be a key go-to person for staff. Your responsibilities will range from providing basic IT support and liaising with external contractors, to onboarding new staff and volunteers, and managing office supplies.

Reporting directly to the Manager of HR and Operations, you’ll bring a can-do attitude and be ready to tackle a variety of challenges. If you thrive on working with people and are genuinely eager to learn and develop in the field of operations, we want to hear from you!

EDV has a commitment to supporting the Lived Experience Workforce through the EDV Wellbeing Framework. Candidates who have lived experience of an eating disorder or who have lived experience of caring for a person with an eating disorder must align with the definitions as detailed in the attached Position Description.

KEY ROLE RESPONSIBILITIES

IT Support:

  • Provide basic support for IT-related issues (hardware, software, and network troubleshooting) and escalate to our managed service provider as needed
  • Offer basic Salesforce support and troubleshooting, including resolving user issues and assisting with system navigations, as well as assisting with monthly reporting updates
  • Assist with the setup, maintenance, and inventory of IT equipment
  • Management of SharePoint sites and content
  • Liaise with external IT vendors and service providers as needed
  • Maintain and update IT documentation and user guides

Premises Support:

  • Oversee the general upkeep and maintenance of the office premises, ensuring a safe and productive working environment
  • Coordinate with external contractors for repairs and maintenance tasks
  • Monitor and manage office supplies and equipment inventory
  • Liases with external contractors, such as printer and internet providers

Occupational Health & Safety (OH&S):

  • Support the implementation and monitoring of OH&S policies and procedures
  • Assist with the coordination of safety drills and training sessions
  • Ensure compliance with OH&S regulations and report any hazards or incidents
  • Maintain up-to-date OH&S documentation and records

HR Administration:

  • Assist with the recruitment process, including job postings and other administration tasks
  • Support the onboarding and induction process for new employees; IT accounts, recruitment documents, pre-employment checks
  • Maintain accurate employee records in the HR database
  • Provide administrative support for HR-related projects and initiatives

General Administrative Support

  • Under the direction of Manager HR and Operations complete administrative tasks within deadlines
  • Prepare reports, documentation, and correspondence as required
  • Act as a point of contact for internal and external enquiries
  • Maintain office subscriptions, process invoices and payments
  • Monitor and order office supplies
  • Assist in organising staff social activities
  • Monitor the Operations Outlook inbox

Other Duties

  • Attend staff meetings, and other internal meetings; keep up to date with EDV news
  • Other duties consistent with position as directed by the Manager HR & Operations

KEY SELECTION CRITERIA

Essential:

  • Experience in an administration or operations support role in an office environment
  • Strong Microsoft Office skills and knowledge of products including SharePoint, Outlook, Word, Excel
  • Understanding of basic office IT systems and equipment
  • Strong written and verbal communication skills
  • Ability to juggle multiple priorities and meet deadlines
  • Adherence to established processes and procedures
  • Effective problem solving and organisational skills
  • Confidence to work independently in a busy environment with frequent interruptions
  • Ability to take initiative and recommend solutions
  • Commitment to delivering exceptional customer service
  • Practical, hands-on approach in day-to-day work
  • A genuine interest in the Operations function with a desire for continuous learning

Desirable:

  • Qualification in Business Administration or Human Resources
  • Experience in a not-for-profit organisation
  • Experience with Salesforce CRM
  • Experience in HR administration
  • Experience working in the mental health or social services sector

Employment conditions:

Location: This position will be based at the EDV office on Level 2 of the Magpies Community Centre (corner Lulie and Abbot Streets, Abbotsford). 

Normal working hours will be between Monday to Thursday, 8:30am to 5pm.

Subject to satisfactory Working with Children Check, National Police Check and completion of Conflict-of-Interest Declaration. 
Probationary period will apply (5-months).
