At Central and Eastern Sydney Primary Health Network, we focus on improving the health and wellbeing of the people who live and work in Sydney, from East to South and the Inner West. Primary health refers to the healthcare provided in the community, such as a local doctor, pharmacist or psychologist. We provide support and training to these health professionals. We help them to connect community members to other services so that everyone involved in a person’s care can know how best to look after their health.

PHNs are not-for-profit organisations. We receive money from the government to provide health services that are right for the people in this area. We also work with hospitals, specialists, aged care facilities and others to improve people’s experience when needing healthcare. We work to make it easier for people to get the best care and support when and where they need it to achieve our vision of healthy and thriving communities

About the job

This is a part-time (3 days) administrative position reporting to the Engagement Lead. The Engagement Program Officer provides high quality secretariat duties for the operations of several key engagement forums including Clinical and Community Councils, Clinical Leaders Network and Member Chairs meetings.

This role supports CESPHN’s external representatives on hospital clinical councils providing them with information and ensuring issues they identify are reported. This also includes the processing of invoices and payments to Council members and external representatives.

This role will also support the wider Planning and Engagement Stream with the organisation of flagship events such as the annual Primary Health Awards, the Strategy Workshop and national conferences.

Most meetings are held at night, outside of regular working hours, time in lieu can be taken as arranged with the Engagement Lead.

Key responsibilities

Undertake high quality organisational and secretarial tasks which include:

  • Liaising with stakeholders, scheduling in-person and online events, minute-taking and organising catering
  • Preparing and formatting documents and meeting papers, reports, and presentations as needed, ensuring accuracy and professionalism.
  • Organising meetings and taking minutes
  • Maintaining spreadsheets and Salesforce data that relates to engagement
  • Work with the Engagement Lead to coordinate Expressions of Interest processes, consultations, and assessment panels when needed.

Selection criteria – essential

  • Experienced in secretariat duties and project planning.
  • Advanced skills in Microsoft Office suite (e.g. Word, Excel, PowerPoint, and Teams)
  • Proven high level written, verbal and electronic communication skills, with an ability to successfully manage communications across multiple channels.
  • Sound organisational skills and the ability to work under pressure and achieve outcomes.
  • Experience in relationship building and management among stakeholders from diverse cultures, professions, etc.
  • Experience in organising and running meetings (including hybrid) and minute taking skills with ability to analyse key issues.

Selection criteria - desirable

  • An understanding of PHNs and the primary health care environment.
  • Experience using Salesforce.
