<p>Endometriosis Australia is a nationally accredited charity committed to raising awareness, funding research, and educating the public about endometriosis. Established in 2012, Endometriosis Australia has emerged as a peak body in advocating for education, research and fundraising. Our goal is to improve the understanding and awareness of endometriosis to help those affected by the disease.</p>
<h3>Position Overview</h3>
<p>The Office Manager will be the backbone of Endometriosis Australia&rsquo;s daily operations, ensuring that the organisation runs smoothly and efficiently. This role involves managing administrative tasks, supporting the team with logistical needs, and maintaining a positive and organised work environment. The ideal candidate is an organised, proactive, and resourceful person with a strong ability to manage multiple tasks and work in a dynamic environment.</p>
<h3>Key Responsibilities</h3>
<p><strong>Office Administration:</strong></p>
<ul>
<li>Oversee day-to-day office operations, including managing office supplies, equipment, and facilities.</li>
<li>Coordinate and manage office communications, including emails across various inboxes, mail distribution and online meetings or phone calls as required</li>
<li>Maintain organised records and filing systems, both electronic and physical.</li>
<li>Support the GM with diary management and preparing operational processes.</li>
</ul>
<p><strong>Volunteer and Ambassador Management:</strong></p>
<ul>
<li>Coordinate the recruitment, training, and scheduling of volunteers, ensuring they are effectively integrated into organisational activities and feel valued for their contributions. Provide ongoing support and communication.</li>
<li>Support the General Manager in the recruitment, training and coordination of ambassadors, ensuring they are well prepared to represent Endometriosis Australia&rsquo;s mission and values. Maintain regular communication, provide support, and facilitate their involvement in campaigns, events and public engagements to maximise impact.</li>
</ul>
<p><strong>Team Support:</strong></p>
<ul>
<li>Provide administrative support to the General Manager, including calendar management, meeting coordination, and travel arrangements.</li>
<li>Assist in preparing reports, presentations, and other documents as needed.</li>
<li>Manage confidential information with discretion and professionalism.</li>
</ul>
<p><strong>HR &amp; Team Coordination:</strong></p>
<ul>
<li>Support HR functions, including onboarding new staff, maintaining employee contact records, and coordinating staff training and development.</li>
<li>Assist with organising team meetings, events, and team-building activities as required. Serve as a point of contact for staff inquiries and ensure a positive work environment.</li>
</ul>
<p><strong>Finance &amp; Budgeting:</strong></p>
<ul>
<li>Assist with basic financial tasks, including processing invoices, managing petty cash, and coordinating with the finance team on budgeting and expense tracking.</li>
<li>Monitor and manage office-related budgets and expenses, ensuring cost-effective operations.</li>
</ul>
<p><strong>Facilities &amp; IT Management: </strong></p>
<ul>
<li>Oversee office maintenance, including liaising with property managers and service providers.</li>
<li>Coordinate IT support for staff, managing software licenses, hardware, and troubleshooting basic technical issues in collaboration with IT Supplier.</li>
<li>Ensure the office environment is safe, functional, and compliant with health and safety regulations.</li>
</ul>
<p><strong>Event &amp; Meeting Coordination:</strong></p>
<ul>
<li>Organise and coordinate meetings, workshops, and events, including logistics, scheduling, and catering.</li>
<li>Manage virtual meeting platforms and ensure seamless execution of online meetings and webinars.</li>
<li>Assist with special projects and events as needed, providing logistical and administrative support.</li>
<li>Board &amp; Stakeholder Support:</li>
<li>Coordinate and support board meetings, including preparing agendas, distributing materials.</li>
<li>Maintain effective communication with board members and key stakeholders as required.</li>
</ul>
<h3>Qualifications</h3>
<ul>
<li>Proven experience in office management, administration, or a similar role.</li>
<li>Strong organisational and multitasking skills, with excellent attention to detail.</li>
<li>Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office management software.</li>
<li>Excellent written and verbal communication skills.</li>
<li>Ability to handle confidential information with discretion.</li>
<li>Strong problem-solving skills and the ability to work independently.</li>
<li>Experience in a nonprofit organisation</li>
<li>Commitment to the mission of Endometriosis Australia and a passion for women&rsquo;s health.</li>
</ul>
<p><strong>Desirable:</strong></p>
<ul>
<li>Experience supporting senior executives or boards.</li>
<li>Basic knowledge of finance and budgeting.</li>
<li>Familiarity with HR processes and systems.</li>
<li>Experience with CRM e.g. hubspot or salesforce, virtual meeting platforms and IT troubleshooting.</li>
</ul>
