We continue the legacy of Professor Fred Hollows, who believed every person had the right to quality eye care, no matter where they live. Over 30 years The Foundation has grown to work in more than 25 countries throughout Africa, South Asia, Southeast Asia, the Middle East and the Pacific, as well as in Australia. We have an ambitious five-year strategic plan that aims to take us even closer to realising our vision of a world in which no person is needlessly blind, or vision impaired and Indigenous Australians exercise their right to sight, good health and self determination.

THE OPPORTUNITY

The Executive Assistant to the CEO is accountable for providing administrative, secretarial and executive support to the Chief Executive Officer (CEO).

ABOUT YOU

You will be an experienced EA to a CEO, with exceptional organisational skills and high attention to detail, coupled with excellent written communication skills. You will be used to working in a busy environment, managing conflicting priorities and deadlines and ensuring positive outcomes. You will be service orientated, with a can-do attitude and have a team-based mindset. Further, you will possess excellent interpersonal skills, with the ability to negotiate and influence senior stakeholders. You will also have strong technical skills with the ability to pick up new systems quickly and effectively. Finally, you will be process driven with the ability to identify opportunities for process improvement.

KEY RESPONSIBILITIES

  • Provide pro-active, high-level administrative and secretarial support to the CEO.
  • Screen and assess incoming correspondence and ensure appropriate distribution and/or response.
  • Proactively manage and maintain the schedule and diary of the CEO.
  • Primary support for organising all travel and associated documentation for the CEO.
  • Coordinate Executive Leadership Team (ELT) meetings, agendas, papers and minutes as required.
  • Manage relevant key organisational meeting logistics including; booking rooms, preparing meeting papers, circulating resources, first point of contact for inquiries and producing minutes.
  • Ensure the CEO has speeches and briefing papers prepared by members of staff for key engagements.
  • Where required assist with desk research for speech preparation as well as preparing presentations, reports, briefs and other documentation.
  • Liaise with Board members and other stakeholders for appointments and meetings.
  • Undertake project management and manage special projects as directed.

WHAT YOU’LL NEED TO SUCCEED

  • Time Management
  • Experience working in administrative and support services function.
  • Previous experience supporting senior executives.
  • Experience working in an international context or for a multi-national organisation.

Highly desirable

  • Experience in international development & NFP sector.
  • Previous experience working for a CEO.
  • People management skills.
