ABOUT THE ROLE

  • The main purpose of the Grants Coordinator role (0.6 – 0.8 FTE) is to coordinate the post-award administration of all projects funded through FightMND’s Programs and initiatives.
  • Key responsibilities include coordination and administration of progress and financial reporting, and invoicing, assisting in the preparation of funding agreements and coordination of variations to these agreements. The role involves day-to-day use of both Grant Management and Project Management software.
  • Reporting to the Grants Manager the Grants Coordinator will be part of the Programs Team. The role will work closely with Program Team members and engage with research stakeholders to ensure the successful management of all FightMND funded projects and initiatives

Key Responsibilities:

  • Strategy
    • Identifying and developing system and process improvements across all grant administration activities.
  • Operations / Delivery
    • Coordinate post-award processes for all FightMND funded projects, including:
      • Timely delivery of progress, financial and impact reporting, and invoicing
      • Preparation of funding agreements and coordination of variations to these agreements
      • Data management between data platforms, ensuring accuracy and integrity of all data and reporting around funded projects
    • Be an expert/super-user of the Fluxx Grant Management Software (GMS).
    • Day-to-day coordination of all grants in the GMS system
    • Ensure all data in Fluxx is accurate and up-to-date
    • Work with members of the Programs Team to implement and test new schemes in the GMS
    • Provide support and training for new users where needed
  • Reporting and Analysis
    • Providing monthly updates on any matters arising with funded projects
    • Providing quarterly status dashboard updates on all funded projects
    • Ad-hoc reporting where required
  • Stakeholder Management
    • Effective liaison with all members of the FightMND team, grant stakeholders and foundation supporters.
    • Be a key contact for issues that arise with Fluxx and work efficiently to troubleshoot and resolve them
    • Provide regular updates and reporting on issues arising with the Fluxx system
  • Other
    • Provide support for FightMND’s Program events including webinars, the Research Symposiums and other administrative areas, where needed

ABOUT YOU

  • Tertiary qualifications in science and/or clinical research is desirable
  • Relevant experience in grant administration or relevant medical-administration role is essential
  • Experience with GMS or Project Management software is desirable
