Position Overview

We’re looking for a passionate, creative, and highly organised individual to join our team as the Personal Assistant to the Founder and Director of GGM. This role is all about making things run smoothly; whether it’s managing calendars, coordinating events, or responding to emails. You’ll be the go-to person behind the scenes, ensuring the Founder and Director can focus on delivering their impactful work. Key Responsibilities

Calendar and Schedule Management

  • Keep the Founder and Director’s calendar organised and ensure every day runs smoothly, balancing work responsibilities, projects, and personal commitments.
  • Book venues, set up virtual meetings, and handle all logistics with ease.

Email and Communication Management

  • Take the reins on GGM-related emails, responding quickly and kindly using our pre-prepared email templates.
  • Keep messages organised, prioritise urgent matters, and ensure no inquiry falls through the cracks.
  • Draft and edit emails in a tone that reflects GGM’s friendly, professional, and approachable values.

Travel and Accommodation Arrangements

  • Organise the Founder and Director’s travel plans, including flights, accommodation, and transportation.
  • Create clear itineraries for events and speaking engagements, so everything is seamless.

Engagement and Event Coordination

  • Manage all aspects of Founder and Director’s speaking engagements, from correspondence to travel arrangements.
  • Stay on top of event logistics for Pop Culture Parenting live events, including venue bookings, tech requirements, and attendee communication.
  • Regularly update our engagement decision-making tools and discuss plans in fortnightly team meetings.

Meeting Preparation and Documentation

  • Pull together meeting agendas and make sure everyone has the materials they need ahead of time.
  • Take clear, actionable minutes during meetings and follow up on what needs to be done.

Administrative and General Support

  • Keep documents and files organised and easy to find.
  • Assist in refining our office processes and making sure things run efficiently.

Special Projects and Additional Support

  • Jump in on any additional tasks or projects that come up, helping to keep GGM moving forward.
  • Be a friendly point of contact for stakeholders, clients, and team members.

Skills and Qualifications

  • Minimum 5 years of experience as a Personal Assistant, Executive Assistant, or in a similar administrative role.
  • Proficiency in Xero, Microsoft Office, and calendar management tools; familiarity with virtual meeting platforms.
  • Excellent written and verbal communication skills with strong attention to detail.
  • Exceptional organisational and multitasking abilities, with a proactive approach to managing time-sensitive tasks.
  • High level of professionalism, discretion, and confidentiality, with a commitment to supporting GGM’s purpose.
  • Ability to adapt to changing priorities, take initiative, and solve problems independently.
