ABOUT THE ROLE
The Executive Assistant position is a busy and varied role, within a small, friendly, professional team suited to an efficient and experienced Executive Assistant, looking to work for a purpose driven organisation.
key responsibilities
The Executive Assistant will be responsible for:
- Providing secretarial and administrative support to the CEO, including calendar management, travel bookings and drafting emails and internal and external correspondence as directed.
- Assisting with planning and coordination of Board and Committee meetings, including scheduling, preparing Board papers, drafting minutes, following up on action points from meetings with relevant stakeholders.
- Handling sensitive and confidential information with discretion and professionalism and ensuring that sensitive information is managed appropriately.
- Work closely with CEO to ensure highest standard of planning for governance including meeting all reporting and compliance obligations.
- Supporting HANCA staff with general administration, travel arrangements, IT and CRM requirements or other projects that may arise in agreement with the CEO.
- Taking charge of supporting CEO-led events or special projects as directed.
- Maintaining the HANCA policy library, ensuring policies are current and accessible and managing the approval process for Board level policies.
- Administrative duties as directed such as coding invoices, maintaining digital filing and contributing to improving office processes to maximise efficiency.
The Executive Assistant will support the HANCA organisation by:
- Being a friendly and efficient point of contact for all stakeholders.
- Working collaboratively with all HANCA staff to support our strategic priorities and by participating as required in HANCA awareness activities, fundraising campaigns and projects.
- Being adaptable and flexible as this role and processes may change and develop with the growth of the charity.
- Maintaining a safe and work health and safety compliant home office space, with access to reliable internet.
- Contributing to the culture of decision-making, including initiative, cooperation, collaboration and shared accountability.
key selection criteria
- Prior experience as an executive assistant / high level administration role.
- Excellent organisation, time management and strong attention to detail.
- Demonstrated experience in managing multiple projects across a busy office with the proven ability to problem solve, prioritise and meet deadlines.
- Advanced interpersonal and communication skills.
- Ability to work autonomously and as part of a team.
- Energetic, self-motivated, and takes initiative.
- Advanced computer skills and competency in Microsoft Office, including Teams, SharePoint, Word, Excel, Outlook and Sales Force (highly desirable).
- Experience working in a not-for-profit environment (desirable).
