The Opportunity

To assist with meeting the growing demand for our services, Heart2art Workshops are currently looking to expand our team. We need an experienced, passionate, friendly and outgoing receptionist/admin with a desire to grow, contribute and be part of our amazing team.

The receptionist/admin will be responsible for the day-to-day running of the office, engaging and promoting a great workplace culture and providing administrative support to the staffing team.

Key responsibilities include being the first point of contact for participants and visitors, both face to face and over the phone. The receptionist/admin will attend to general administration duties vital to the efficient running of the office and our studio in Southport, as well as enquiries and referrals related to workshop bookings. The receptionist/admin will also assist with social events, welcome guests to the studio, set up for team meetings and training events when required.

TYPICAL DUTIES / ACCOUNTABILITIES

  • Answer & direct phone calls, e-mails, IM/DMs, text messages, etc.
  • Provide customers with updates and information via email and phone when changes occur or bookings change.
  • Develop and maintain good relationships with customers and respond to enquiries on products and services.
  • Assisting with rostering and coordination of staff.
  • Ensuring that office operations are well-maintained, organised and secure.
  • Assisting with special projects as necessary.
  • Enjoy the hustle and bustle of customer service and assisting people.
  • Excellent phone manner, ability to positively interact with people and overcome any negative sentiment.
  • Driven to gain the best results for our clients and participants.
  • A team player and with a very positive attitude, a ‘people’s person'.

Essential

  • Relevant qualifications in Administration and/or substantial work experience in an administrative role.
  • Demonstrated ability to balance conflicting priorities and meet deadlines with excellent organisational and time management skills. An ability to remain calm under pressure particularly when responding to people who may exhibit difficult behaviours or have poor communication skills.
  • Excellent interpersonal, verbal and written communication skills with the ability to exercise sensitivity, discretion and confidentiality.
  • Proficiency in computer skills including use of programs such as PowerPoint, Word, Excel and Outlook, proven ability in utilising in house databases and systems to manage and process work.
  • Strong numeracy skills with demonstrated ability to complete banking and reconciliations.
  • Demonstrate an understanding and appreciation of Heart2art Workshops, our identity and promote the organisation’s values, vision and code of ethics through interactions at work.
  • Ability to work with minimal supervision and as part of a team.
  • Demonstrated a highly developed awareness of, and sensitivity to the fair, equitable and holistic treatment of our participants and their confidential information.
  • Current QLD driver’s licence.
  • Current Blue Card and NDIS Worker Screening Check (or an ability to gain them).
