HOPE has been a provider of community services in Western Australia for over 120 years, providing much needed support for people in the areas of alcohol and other drugs, mental health, justice and family and domestic violence.  

About the Opportunity 

The Executive Assistant serves as the primary point of contact for internal and external matters pertaining to the Office of the CEO. The Executive Assistant (EA) also serves as a liaison to the Company Secretary and senior management teams.

The EA’s role is to provide a supportive partnership to the CEO.  The EA will learn what the priorities of the CEO are, then identify what will be helpful to the CEO for the EA to undertake and deliver on those undertakings.  This will involve a combination of routine tasks such as keeping accounts and arranging travel as well as more creative tasks such as drafting reports and presentation materials.  The EA will interact with a wide variety of internal and external stakeholders, always representing the CEO and the CEO’s office in the highest levels of courtesy and respect.  The EA is expected to take significant initiative in identifying and addressing the needs of the CEO.  At the same time, the EA will receive direction from the CEO as and when the CEO deems it appropriate to issue such direction. 

 Requirements of the Role: 

  • Coordinate and arrange Board and Executive team meetings, including preparing agendas, taking minutes, action lists, and providing papers relevant to the meeting.
  • Facilitate effective communication between the CEO, the Board, and the executive team.
  • Preparation of the monthly CEO report and drafting of Ministerial briefs and responses, as required.
  • Prepare and collate speaking and meeting briefs for the CEO.
  • Maintain the CEO’s task list including working with the Executive team to identify priorities and deadlines.
  • Act as a contact point for external stakeholders, including the Company Secretary and liaison with key stakeholders in consultation with the CEO.
  • Ensures the smooth running of the Office of the CEO.
  • Arrange travel, accommodation and itineraries of the CEO and Directors as required.
  • Awareness and co-ordination of the CEO’s priorities on a daily, weekly, monthly, and quarterly basis.

About you:

  • Certificate 3 in business or other equivalent qualification or, equivalent capability from experience.
  • Experience in similar role or 7 years’ experience in an EA role to executives.
  • Advanced user of Microsoft Office Suite
  • Advanced organisational and time management skills.
  • Excellent interpersonal skills and telephone manner.
  • Demonstrated ability to work independently and set priorities.
  • Demonstrated ability to manage large and varied workload, whilst maintaining motivation under pressure.

Desirable criteria:

  • Experience in the human services sector.
  • Experience at providing EA support to Boards. 

Appointments will be subject to Australian residency/visa, satisfactory National Police check (within 3 months), Working With Children card, Current C or A class driver's license, First Aid Certificate, and suitable work referees.
