What You’ll Do:

  • Provide diary management, visitor support, travel/accommodation arrangements, database, file and record management, coordination of communication streams such as correspondence, email and telephone calls.
  • Deliver supplementary support activities including providing research, briefing documents, advice, reports, presentations and project support as necessary.
  • Coordinate the executive support and office management activities across the Commission executives including providing advice, guidance, training, coordination and support to other executive assistants.
  • Develop and maintain administrative systems and processes to ensure consistency and quality in executive support services.
  • Liaise with teams across the Commission to ensure an effective flow of information.
  • Coordinate Chief Executive papers and all associated meeting/event activities including arranging venue, catering, scheduling, providing secretariat support and other logistics support as required.
  • Provide budget support to the Chief Executive including processing paperwork, managing digital records, maintaining and acquiring office supplies, and reconciling accounts.

What We’re Looking For:

  • Demonstrated professionalism, sound judgement, discretion, integrity, resilience and a commitment to continuous improvement of self and systems.
  • Extensive experience in providing high-level executive, administrative, and project support.
  • Experience in establishing and maintaining administrative systems and developing innovative solutions to administrative issues.
  • Excellent organisational and information technology skills and the ability to work flexibly and autonomously in a demanding and dynamic environment.
  • Understanding of political processes and sensitivity in dealing with a range of contemporary human rights and discrimination issues.
  • Excellent oral communication skills, including the ability to: liaise confidently with politicians, senior officials, members of the legal profession.
  • Sound written communication skills, including the ability to write clearly and effectively for a wide range of audiences and in various styles.
