About the Role

The role is critical for the operations of the North Melbourne hospital and their clinical teams ensuring the right staff with the relevant skills are in the right shifts to deliver the most efficient service.

You’ll work closely with Nursing Services to understand the rostering and administration requirements of each team and coordinate rostering activities across Lort Smith Animal Hospital to optimise our resourcing strategies and ensure we maintain patient care while achieving operational goals.

This pivotal role collaborates with the Head of Nursing Services and Chief Operations Officer to oversee rostering and workforce scheduling, including creating and maintaining effective rosters, coordinating vet and vet nursing schedules and handling unallocated shifts in a fast-paced, dynamic environment.

This role is being offered as full-time, Monday to Friday.

Your responsibilities

  • Align rosters to activity to ensure the most efficient staffing coverage for Lort Smith Animal Hospital
  • Identify gaps in the workforce and provide recommendations for recruitment
  • Ensure rosters are completed in a timely manner and optimise our workforce
  • Manage shift changes, replacements, and urgent rostering requirements Deal with roster enquiries from staff and reschedule rosters to ensure coverage of planned leave/unplanned absences
  • Schedule induction shifts for new starters and subsequent training shifts
  • Schedule training for staff as required in conjunction with the appropriate departments, including one on one and all staff training whilst maintaining operational requirements of the hospital
  • Collaborate with Head of Nursing and Head of Hospital updated on recruitment needs for veterinary staff (both vets and vet nurses)
  • Workforce analysis, including utilisation & composition for effective staff planning to meet future requirements through the development of efficient staff modelling
  • In conjunction with key stakeholders, develop and manage the introduction of operational rosters that achieve increased efficiencies to existing and new contracts
  • Initiate and drive continuous improvement of the rostering and mobilisation process
  • Manage and optimise Deputy Rostering and attendance software
  • Maintain standardised approach to roster and timesheet approval.
  • Plan rosters for staff annual leave to ensure full coverage for the hospital
  • Analysis of attendance and leave patterning

About You

You will be a strategic thinker and solutions focused, able to quickly develop an understanding of the veterinary industry and our hospital needs. You’ll be adaptable and able to work in a dynamic environment with changing priorities. You’re a creative problem-solver with a proactive approach to driving efficiencies.

You’ll utilise your excellent communication skills to build and maintain strong relationships with our employees, internal team members and external stakeholders.

You’ll have

  • Minimum 2-3 years of rostering experience in a hospital or multi-departmental environment
  • Experience with rostering, scheduling, or workforce coordination under Enterprise Agreements
  • Experience in applying appropriate Enterprise Agreement conditions ensuring compliance with shift rostering
  • High level organisational skills including ability to manage multiple deadlines
  • Ability to respond quickly and effectively to changes in staff availability and absences
  • High level analytical skills
  • Experience in assisting in recruitment planning and forecasting
  • Excellent communication, influencing, and relationship building skills
  • Proficiency in rostering software and Microsoft Office Suite

You may also have:

  • Experience in healthcare, aged care or multi-departmental environments
  • Deputy Rostering experience an advantage (but not essential)
  • Experience using EzyVet and/or Smartflow an advantage (but not essential)
