The role

The Volunteer Program Administration Officer is responsible for providing key administrative support to the delivery of Lort Smith’s Volunteer program.

Your primary role will involve supporting the Volunteer Manager to assess, screen, recruit and support the onsite volunteers across two sites.

This is being offered as a part-time role (19 hours per week).

What you’ll be doing

  • Assisting in coordinating the volunteer recruitment process, which involves organising information sessions, reviewing applications, scheduling training and onboarding new volunteers
  • Tracking progress and providing information and support to volunteers throughout the recruitment process
  • Updating and maintaining accurate records in the volunteer database
  • Fostering a supportive, motivating and rewarding working environment for volunteers
  • Responding to queries from prospective volunteers and partner facilities
  • Following up qualifications at time of recruitment, including Police Checks, Kennels Assessments, OHS and Animal behaviour training
  • Monitoring and following up volunteer attendance and feedback
  • Supporting the Volunteer Manager to develop systems and processes to coordinate annual volunteer check-ins and support meetings
  • Assisting with organising workshops and events

What you bring

  • Excellent organisational and time management skills
  • Warm, approachable and professional demeanour
  • Excellent written and verbal communication skills
  • Strong administrative skills, with great attention to detail
  • Advanced computer skills including Microsoft products and database software
  • Experience in volunteer or community programs (desirable)
  • Volunteering (desirable)
  • Experience in an animal shelter, veterinary practice or hospital environment (desirable)
