More about the role:

From our ambitious business growth plans to our upcoming relocation into a new office in North Sydney, it’s time to jump at this opportunity to join the McGrath Foundation in this newly created role as Executive Support & Office Manager.

Reporting to and supporting the Chief of Staff, you will play a key role in supporting the CEO and Executive Team while also ensuring the smooth day-to-day operations of the office. This role truly blends the elements of executive support with hands-on office organisation.

Key responsibilities include:

  • CEO Support - Manage daily EA/PA tasks, including diary and travel coordination, document creation/organisation, and detailed meeting preparation.
  • Executive Team and Chief of Staff support - Organise travel arrangements, including flight bookings, accommodation and detailed itinerary preparation. Manage credit card reconciliation etc, as required.
  • Meeting Support - Manage calendars, Team meeting preparations, including setup and key notes. Assist with Executive and Board meeting preparations, as required, including catering and on-site support.
  • Office Administration - Oversee office operations, manage suppliers and maintain office inventory and stationery, track budgets, ensuring a high-functioning workspace. Ensure all office documentation is up to date. Manage and maintain meeting rooms. Ensure the kitchen is maintained, kept clean and stocked including coffee machines, snacks, beverages, consumables, etc.
  • Key visitor contact – Be the primary point of contact for executive team guests and/or visitors to office.
  • Onboarding Support - Assist with new starter onboarding, as required.
    Compliance and Facilities Management - Attend building management meetings, Fire Marshall and First Aider Training, manage office security and passes.
  • Be an active member in our Inclusion, ESG and Social Collectives.

Due to the nature of the role, you would be based in the office an average of 4 days per week.

What you bring to the role:

Our ideal candidate has outstanding organisational and time management skills and can confidently navigate the coordination of complex calendar schedules, executive meetings and travel itineraries. You will be a pro-active team player with exemplary attention to detail, a flexible approach and a high level of professionalism and respect for confidentiality. We’re looking for someone who loves to roll their sleeves up, thrives on being hands-on, ensuring that every aspect of the office runs smoothly and efficiently.

Your strong communication skills will also help you build relationships with internal and external stakeholders, while your tech-savviness and advanced Microsoft skills will ensure efficiency and seamless operations. Being a natural problem solver will also be highly beneficial.
