About the role:

Multicultural Australia is currently offering an opportunity for an Operations & Systems Officer to work as part of our Welcome, Accommodation & Initial Support Program team. The role is Full-time, Fixed max term for 12 months with possibility of extension. The role is Brisbane based but will also require travel between Logan and Gold Coast.

The primary purpose of this team is to provide welcome, safety and security to clients under the program, while ensuring they are linked with essential services and appropriate housing options to ensure a smooth transition to life in Australia. Among other duties, the successful candidate will: 

  • Provide high quality operational and system support for Multicultural Australia’s Accommodation Team.
  • Liaise with Accommodation Team Leader to plan and coordinate on-arrival support and initial welcome for large groups of newly arrived people to Australia.
  • Support the Accommodation Officer in completing relevant documentation including entry and exit reports as well as routine inspection and maintenance reports.
  • Liaise and coordinate referrals with essential registration stakeholders.
  • Establish and maintain effective working relationships with key stakeholders from external organisations, businesses, associations, community members as well as internal Multicultural Australia teams.
  • Consolidate feedback and implement strategies to improve services, including internal processes and procedures, as well as professional development for staff to improve overall service delivery and understanding.
  • Maintain established systems of data management and tracking systems to inform and provide monthly and ad hoc reports.
  • Ensure all relevant processes for individual clients have been captured and reported accurately on internal and departmental database systems.
  • Assist in the development and maintenance of contract management information, documentation, procedures, data and records.
  • Monitor internal and external KPIs, to ensure targets are being achieved to maintain reporting contractual obligations and compliance.
  • Communicate with suppliers, clients and government departments to ensure adequate support is provided during initial settlement.
  • Actively strengthen commitment to risk management by identifying, managing, escalating and mitigating risks to the achievement of objectives.

What qualifications and skills do I need?

You will be comfortable working in a fast-paced environment and have effective communication and interpersonal skills. As well as having a confident and positive personality, you will possess:

  1. Possession of Diploma level tertiary qualification in Logistics, Business, Communications, Information Technology or Professional Certificate in Stakeholder Engagement or related discipline.
  2. A passion for Multicultural Australia’s mission of creating a welcoming and inclusive Queensland, and a desire to make a difference.
  3. Strong understanding of, or willingness to obtain knowledge related to settlement services and specific issues relevant to refugee or vulnerable client cohort, and the ability to work effectively and sensitively across cultural to assist clients in their early settlement journey.
  4. Excellent communication skills and ability to network with both internal and external program stakeholders across other Humanitarian Settlement Program Providers, Service Australia, Health, AMEP, and Immigration.
  5. Strong skills in building positive relationships with a variety of stakeholders to achieve positive outcomes.
  6. Excellent written and verbal communication skills and ability to communicate well in a culturally diverse environment.

Successful candidate will be required to have a valid driver’s licence, police check and apply for a Working with Children Blue Card.
