Position Purpose:

The Manager of Corporate Services provides financial and corporate leadership, ensuring effective financial management, compliance, and operational efficiency. The role supports the CEO in financial reporting, risk management, supplier management, and internal controls while overseeing payroll, budgeting, and audit processes. Additionally, the role is responsible for ensuring adherence to funding agreements, procurement procedures, and compliance obligations while supporting operational planning and decision-making. The role will support the CEO with human resource management as required.

Key Responsibilities:

Financial Management & Reporting

  • Oversee internal financial controls and compliance with regulatory requirements.
  • Develop and monitor budgets across revenue streams.
  • Prepare monthly financial reports, including cash flow analysis, financial statements, and budget variances.
  • Support the CEO in financial reporting to the Board and Finance, Risk, and Audit Committee (FRAC).
  • Ensure timely preparation of Business Activity Statements (BAS), GST reporting, and payroll tax obligations.

Payroll & Accounts Management

  • Oversee the Finance Officer role to ensure general ledger and payroll accuracy
  • Supervise payroll processing and ensure compliance with tax and superannuation obligations.
  • Oversee accounts payable and receivable, ensuring timely supplier payments and invoicing.
  • Maintain accurate leave liability records and report on high balances.
  • Ensure that financial processes are maintained and adhered too.

Audit, Compliance & Risk Management

  • Coordinate external audits and ensure accurate financial acquittals for grants and contracts.
  • Monitor financial risks and implement mitigation strategies.
  • Oversee insurance policies, workers' compensation, and portable long service leave compliance.
  • Maintain a compliance register and ensure adherence to funding agreements.

Operational & Supplier Management

  • Manage supplier contracts and leases, ensuring procurement follows MIC's delegations and approvals.
  • Oversee service agreements for IT, telephony, and property maintenance.
  • Ensure banking processes are up to date, including credit card allocations, term deposits, and authorized signatories.

Planning & Ongoing Responsibilities:

Ongoing Tasks:

  • Review fortnightly payroll and supplier batch payments to ensure accuracy and correct project allocations.
  • Ensure banking processes remain up to date, including spend limits and authorized signatories.
  • Support the Finance Officer to ensure payroll and general ledger bookkeeping are correctly maintained.
  • Ensure financial systems (MYOB, Employment Hero payroll software) remain accurate and updated.

Monthly Tasks:

  • Oversee bank reconciliations and financial reconciliations.
  • Review and lodge monthly superannuation and PAYG withholding payments.
  • Process month-end adjustments, including prepaid expenses, revenue recognition, and depreciation.
  • Prepare monthly reports on project wage costs compared to budget forecasts.
  • Prepare financial reports for the Finance & Risk Subcommittee, ensuring compliance with financial expectations.
  • Provide project/department actuals-to-budget reporting, liaising with managers to track financial performance.

Quarterly Tasks:

  • Support the preparation of project cost reports for grant acquittals as required.
  • Review and lodge Quarterly BAS (GST & PAYG withholding obligations to ATO).
  • Prepare and submit Portable Long Service Leave (PLSLA) declarations.

Annual Tasks:

  • Review Single Touch Payroll (STP) submissions and authorize lodgments.
  • Prepare and lodge Workcover declarations.
  • Coordinate and compile financial data for the external audit.
  • Assist in the preparation of Annual Financial Statements and reporting to the Australian Charities and Not-for-Profits Commission (ACNC).
  • Manage annual financial acquittals for funding bodies.

Key Requirements:

  • Relevant qualifications in finance, accounting, or business management.
  • Proven experience in financial management, budgeting, and reporting.
  • Strong knowledge of compliance, risk management, and payroll processes.
  • Ability to analyse and interpret financial reports, funding agreements, and contractual obligations.
  • Proficiency in MYOB, XERO, Microsoft Office, and payroll systems.
  • Strong leadership, problem-solving, and stakeholder management skills.

Additional Information:

  • This is a part-time role (2 days per week) based in Box Hill.
  • Occasional travel may be required for meetings or events.
