Moving Forward is a specialist case management service for women and children who are experiencing, escaping, or have left domestic and family violence situations. We provide comprehensive practical support through trauma informed, strengths based, and client centred case management, as well as therapeutic and educational workshops and support groups within the communities we serve.

About the role
Reporting to the CEO, the Administration Officer will assist in planning, prioritising and managing administrative needs of the CEO and the organisation, to ensure smooth operating systems are implemented and met. This includes formulating reports, documents and processes; organising meetings and meeting papers; arranging workshops, support groups and events aligned to funded grants (including Gambling Aware); and assist with IT, telephony and tradespeople as required.
Key responsibilities of the role include:
- Greet clients, visitors, and families, creating a welcoming environment.
- Act as the primary point of contact for client inquiries, ensuring timely, accurate responses (on working days).
- Uphold the rights of clients, in line with Moving Forward policies and relevant legislation.
- Manage the main administration inbox, answer incoming calls, respond to inquiries from internal and external stakeholders.
- Manage the organisation of meetings, workshop, support groups and funded events (Gambling grant) including liaison with key stakeholders, attendance management, and handling and recording of feedback evaluation forms into CIMS.
- Assist with uploading client notes and documents into the CIMS system as required.
- Assist in generating and analysing reports in Excel, compiling data from various sources.
- Troubleshooting basic office equipment and assist with IT support requests as needed.
- Experience with social media platforms and communication.
- Other duties as required.
The position is part time 15 hours per week (Monday to Thursday) and is a 12 month fixed term contract with a potential for extension pending funding. Whilst the days worked can be negotiated, the role would work best with the incumbent working the 15 hours over three days. The role is based in Hurstville NSW, with public transport (trains and buses) at the office doorstep, and a short 17 minute express train ride from Sydney's Central Station.

About you
- Prior experience working in an Administration Officer role (within community services or DFV will be highly regarded).
- Strong administrative experience relating to people and project management.
- Proven ability to provide a range of confidential and sensitive executive support services in a changing environment.
- Demonstrated stakeholder engagement capabilities with excellent interpersonal skills.
- Excellent written communication skills, with an ability to develop reports, newsletters, social media posts, and communication with external stakeholders.
- Be tech savvy and be able to navigate social media strategies.
- Have excellent co-ordination skills and the ability to work collaboratively as part of a team.
- Experience with social media platforms and communication.
- Excellent time management including juggling multiple priorities and work within timelines.
- Hold or be willing to provide a recent Police check and WWC check.
- Have the right to work full time, without restrictions in Australia

- Prior training in DFV (ie ECAV trained in DFV)
