The International Transport Workers’ Federation (ITF) is currently seeking to fill a vacant Administrative Assistant position based in North Fremantle, WA. The position will be a fulltime role five (5) days per week.

Reporting directly to the ITF Coordinator in Australia, we are looking for a highly organised and proactive Administrative Assistant to support the ITF’s operations in Australia. This role is essential in ensuring the smooth running of day-to-day activities, working closely with the ITF National Coordinator and inspectors.

Key responsibilities include managing complex calendars across multiple time zones, scheduling and coordinating meetings both in-office and online platforms and recording detailed meeting minutes. You will also oversee facilities bookings with the MUA, ensuring seamless planning for ITF functions and services.

Travel coordination will be a key part of the role, including booking domestic and international trips, securing relevant visas, and managing travel-related expenses. You will also assist in budget preparation, process invoices, and liaise with the MUA accounts department.

This role involves organising internal and offsite events, handling team communications, and preparing professional documents such as reports, presentations, and letters. You will be responsible for maintaining records, ordering office supplies and equipment, and providing general administrative support to the inspectors and National Coordinator.

In addition, you will maintain communication with ITF Inspectors across Australia, conduct web research on shipping companies and international ports, and manage ITF-related social media content. You will assist in preparing newsletters and circulars, support ITF campaigns through research and administrative tasks, and liaise with external stakeholders, including union representatives and government bodies.

The ideal candidate will have excellent attention to detail, strong organisational skills, and the ability to manage multiple tasks efficiently. A background in administration, union-related work, or the transport sector is desirable but not essential.

This position reports directly to the ITF National Coordinator in Australia.

Successful Candidates will ideally have the following experience:

  • Strong written and verbal communication skills, with experience drafting professional correspondence.
  • Ability to work independently and collaboratively within a team environment.
  • Experience using cloud-based collaboration tools such as SharePoint, Google Drive, or similar.
  • Will be highly organised and have well-developed analytical and problem-solving skills
  • Microsoft Office – a high-level understanding of Excel, Word, PowerPoint and Outlook
  • Integrity and discretion in dealing with confidential information
  • High degree of motivation and initiative
  • The ability to prioritise and juggle multiple tasks
  • Excellent attention to detail
  • Some domestic travel will be required from time to time to flexibility to travel if required
  • Prior experience working with unions, non-profits, or advocacy organisations is desirable.
  • Familiarity with maritime or transport industry issues is an advantage but not essential
  • Demonstrate a commitment to social justice issues and union values.
