We are looking for an Administration Officer to join our executive team.

This role could be suitable for a 3rd or 4th year university student looking for some casual work that can be completed around study or a parent or carer who needs casual work that can flex around caring responsibilities.

ABOUT THE ROLE

Reporting to the Digital Programs and Events Manager, you will be responsible for supporting our team to communicate with our members, and deliver events, forums and programs from the planning to execution phase, virtual, hybrid and in-person.

A flexible, hybrid role, employed on a casual hourly contract (Clerks Award). This role will be engaged each week for a minimum of 8 and up to a maximum of 24 hours. On average we would expect you to work between 10 and 16 hours per week.

We are all about output and outcomes, this is a hybrid role enabling you to work from home as well as from a collaborative workplace in RIchmond (near Victoria Gardens). We do require you to be available to work on Monday and Wednesday mornings as our team works collaboratively at these times. On Wednesday's the whole team works from the Richmond office and therefore we do ask that you are available to work at least 4 hours in person from the office on a Wednesday between 9:00am and 4:00pm. We also need you to be available for an 11:00am - 12:00pm WIP meeting every Monday (online). Outside of this the hours are flexible as long as required outputs are met.

KEY RESPONSIBILITIES INCLUDE:

  • Monitor and action the NAWO email inbox.
  • Update member contact and organisation data in Zoho CRM and run reports as required.
  • Setting up ticketing and registration processes in the NAWO portal and EventBrite.
  • Sending out event feedback forms and collating results.
  • Zoom webinar and meeting setup and backend support, for 100% virtual and hybrid events.
  • Use project management tools (e.g., Trello, Excel, Slack) to coordinate deadlines with internal stakeholders.
  • Run participation reports for programs.
  • Create event listings and make content updates on the NAWO wordpress website.
  • General administrative support for the CEO, and Funding and Partnerships Director as required. This may include but is not limited to travel bookings, diary management, support with preparation of slide decks and presentations.
  • Ensure cyber safety and security protocols are adhered to and considered in all digital event administration.

ABOUT YOU

If you are digitally savvy and enjoy working with multiple applications to deliver efficient and accurate results then we would love to hear from you. You'll get off the ground in the role more quickly if you are proficient in the use of data management tools and software.

  • Wordpress

If you demonstrate these traits and capabilities you will be a great addition to our team.

Self-motivated and able to work autonomously, you pride yourself on your attention to detail, and can liaise with multiple stakeholders.

Digitally literate, you use digital tools to maximise your effectiveness and you are able to learn new systems with ease.

Data oriented, you enjoy working with and analysing data and producing digestible reports for the team.

Organised and efficient, you use time well and love to keep projects on track in a friendly, calm and collaborative way.

You use your initiative to solve issues and problems and also know when to seek support from others.

You give and receive feedback with curiosity and respect.

Friendly and personable, you liaise professionally with our team and our members.
