About the Role:

NDS has an exciting opportunity available for a Facilities &WHS Coordinator to work as part of our Corporate Services Team. Based in Northbridge WA in our heritage listed building, you will be NDS’s representative in matters relating to WHS and operational facilities management for our WA office, as well as providing facilities and WHS related coordination, guidance and support to other NDS offices across Australia.
Reporting to the Office Services Manager, the role covers a broad range of facilities, WHS and office support activities, including preventative, planned & reactive maintenance, as well as environmental sustainability, WHS compliance and risk management.
Key Responsibilities:
Facilities coordination:
- Ensure effective management and maintenance of physical facilities across multiple sites including plumbing, electrical, waste management, gardening, HVAC, security services, access services.
- Ensure NDS offices are a safe and enjoyable place to work by overseeing utilities, cleaning, printing, stationery, test & tag, first aid & fire equipment, pest control, appliance service & repair, office plants, mail & courier services, internal signage, etc
- Where necessary, liaise with Building Management and third party contractors regarding maintenance requirements of NDS rented/leased premises.
- Oversee emergency management activities, including evacuation plans, fire drills, fire warden & first aider training, COVID-safe plans and PPE
- Obtain quotes for works, review and signoff works, ensure works are satisfactorily completed, approve invoices for payment.
- Coordinate with external supplier for the heritage building works and maintenance of the Northbridge property.
- Establish and manage preferred nation-wide supplier agreements and perform account management for the above products and services.
- Assist with the management of the risk register, as well as incidents, near misses and hazards, and take proactive steps to reduce or eliminate them.
- Establish and maintain a calendar of servicing and maintenance activities and ensure activities are completed as scheduled.
- Ensure regular inspections are undertaken on all premises and any issues are rectified in a timely manner
- Liaise with landlords or Property Managers (where applicable) to ensure landlord and tenant requirements are met for the premises
- Liaise with sub-lease tenants or Property Managers (where applicable) to ensure premises are compliant with the terms of sub-lease.
- Coordinate end-of-lease make good works and assist with office relocations
Work, Health and Safety coordination:
- Liaise with Head of People & Culture on WHS matters
- Manage WHS processes and compliance with statutory and contractual obligations.
- Maintain WHS system compliance with AS/NZS 4801 and OHSAS 18001 standards.
- Ensure Environmental Management System compliance with AS/NZS ISO 14001.
- Oversee WHS & facilities contractor management, hazard reporting, and incident management.
- Lead internal and external WHS audits and provide expert guidance to contract-based compliance staff.
- Contribute to weekly, monthly, and quarterly reporting.
- WHS representative for WA office, including day to day management of WHS issues and compliance.
Office Support:
- Assist Office Services Manager with the provision of administrative services for offices nationally as required, such as procurement of stationery and staff amenities.
- Assist Office Services Manager on the coordination with ICT support vendor on the provision, repair and collection of ICT equipment and provision of IT services (e.g. Laptops and mobile phones)
- Monitor inventory of office supplies and the purchasing of new materials
- Records maintenance including data entry, system maintenance, archiving, scanning and tasks associated with our offsite storage as required.
Stakeholder management:
- Develop strong working relationships within the Corporate Services team, the NDS WA team, State & Territory Managers and WHS representatives nationally
- Management of relationship and commercial arrangements with relevant external suppliers, contractors, service providers, tenants and property managers.
Other Responsibilities (applicable for all NDS employees):
- Perform other duties and responsibilities as required by manager/supervisor from time to time

Desired Skills and Experience
Skills & Experience:
- Experience in property management, or facility management.
- Previous experience providing WH&S advice and coordination.
- Strong technology skills in such applications as Microsoft office and incident reporting platform.
- Excellent communication skills and ability to build strong working relationships with a variety of internal and external stakeholders.
- Demonstrated skills in project coordination of people and works, including remote experience.
- Proactive and self-driven.
- Resilient and adaptable to changes.
- Willingness and capacity for independent travel.
- Willingness to be contactable outside of standard working hours from time to time.
- Understanding of building accessibility standards would be beneficial
- Diploma in WH&S Management or similar qualification desirable.
