About the Role
- Full Time Permanent Position
- Corporate Support Services Level 4: $88,850 - $92,865 per annum pro rata + super + salary packaging + employee benefits!

The primary focus of the Executive Assistant and Board Secretary role is to provide support and assistance to the Governance and Assurance Network, including Board administration, research, writing, contract management and other administrative tasks.
The Executive Assistant and Board Secretary must maintain a high level of confidentiality with sensitive organisational information and when dealing with internal and external stakeholders. The ability to be diplomatic, flexible in your approach and adaptable to changing environments will keep you in good stead.
The Executive Assistant and Board Secretary will also work with, and be supported by, the team of head office Executive Assistants, including participating in regular community of practice/shared learnings meetings.
In this this role you will be:
- Setting up and maintaining information management systems that are tailored to the Governance and Assurance Network (GaAN) needs
- Managing contract management systems and approvals
- Providing executive support to the Company Secretary, Board and Committees, including
- Preparing and drafting board and committee templates, papers, reports, and agendas;
- Taking minutes and organising and coordinating meetings and workshops as required;
- Knowledge of Diligent or a similar Board portal would be an advantage.
- Maintaining and coordinating an effective calendar and filing system, ensuring the GaAN’s competing demands are effectively managed
- Coordinating travel itineraries, maintaining, and reconciling travel and incidental expenses using the online expense management platform SAP Concur
- Ad hoc event management
- Ad hoc research and project work
- Preparing, formatting, and editing reports and presentations as required
Records Management
- Ensure records management obligations are met, including the proper retention of hardcopy and/or electronic records and ensuring files are accurate and up-to-date
You will bring to the role:
- A high level of energy, enthusiasm and flexibility, along with a commitment to teamwork and a willingness to learn about Neami National
- A high level of verbal and written communication skills and a demonstrated ability to use initiative and work effectively to timelines
- Demonstrated experience proactively supporting a C suite executive and members of the Board and Committee’s with their day to day operations including an ability to anticipate needs.
- Confidence and maturity to assist consumers, staff and visitors; including the capacity to handle sensitive and confidential material with discretion
- Demonstrated experience in designing and implementing administrative procedures, as well as experience in data entry and reporting
- Demonstrated relevant experience with Microsoft 365 applications such as Word, Excel and Outlook along with experience using the Microsoft Teams platform;
- Demonstrated ability to work effectively while managing a range of tasks; and the skill to organise and prioritise tasks on a daily, weekly and monthly basis
- Capacity to work independently with minimal direction and collaboratively in a team environment;
- Proven ability to solve problems by collecting the right information, analysing the information, developing a solution and evaluating the success of the solution
