Our client the Victorian Ambulance Union is an independent association for paramedics and ambulance work and they are currently seeking an experienced Administration and Membership Officer for an immediate start.
The primary purpose of the position is to ensure a smooth, reliable and efficient environment for a wide range of day to day, and more specific administrative and membership functions to directly support the executive and membership team.
Duties & Responsibilities:
- Answer front desk phone.
- Book any taxis, issue cab charge vouchers and maintain records for these to send to finance officer.
- Printing and preparation of legal documents for Fair Work Commission hearings and other courts or tribunals.
- Preparation of training courses, printing of documents required and preparation of training equipment.
- Booking and set up of meeting rooms for meetings, with oversite for everyone.
- Make up induction packs for AV Induction
- Organise couriers.
- Book accommodation for state councillors when travelling to Melbourne or other regional areas and for Danny and Olga when travelling around the state.
- Purchasing gifts for members, eg flowers for bereavement or illness.
- Ordering catering for meetings held at the office.
- Organising catering at regional state council meetings, including researching venues, organising dinner night before and organising other meals required for state councillors
Selection Criteria:
- A minimum of 2 years experience as an Administration officer
- Excellent written, verbal and interpersonal communication skills
- Excellent organisational skills
- Ability to promote innovative and efficient ways to do things
- Excellent knowledge of Microsoft outlook and/or 360 membership data platform
- Dedicated to continuous learning, a team player, and a courteous professional manner.
- Able to work semi-autonomously when required.
