Role Purpose:

Reporting to the HR Manager and supported by the HR Advisor, you will provide comprehensive support to our small team and work alongside our payroll team, ensuring the smooth operation of all HR processes. This is an excellent opportunity for a detail-oriented administrator who is passionate about developing their HR career and interested in contributing to the efficient functioning of the people function.

The Human Resources Administrator will provide quality administrative support to our HR function across a range of operational initiatives to ensure high levels of employee engagement, performance and wellbeing. This role is critical in delivering to the HR Service Level Agreements (SLA’s) established to deliver effective and accurate core HR processes and procedures across the employee lifecycle including recruitment, onboarding, learning and development, employee engagement, and offboarding.

Key areas of focus:

  • Screening of all pre-employment conditions for all candidates offered employment with OHV, according to the DFFH safety screening requirements.
  • Preparing contracts of employment and associated documentation within set timeframes.
  • On boarding new hires/volunteers/student placements within set timeframes
  • Providing all new hires with access to HRIS platforms for induction and probation procedures, and self-service employee data management.
  • Processing all workflows relating to employment change requests within the ELMO Workflow system
  • Preparing templated correspondence for employee changes following approvals of workflow requests.
  • Maintaining accurate and consistent employment related documentation including employment contracts, position descriptions, organisation charts and induction courses
  • Facilitating employee access and improved capability across the Employment Hero HRIS.
  • Maintaining the ELMO HRIS Workflow module to process all employee movement related information and approvals through management workflows.
  • Maintaining the ELMO HRIS Onboarding module to deliver and report on best practice onboarding processes.
  • Maintaining OH&S oversight for those staff Working from Home
  • Supporting managers in assigning staff to external learning courses.
  • Maintaining our various HR platforms (ELMO and Employment Hero) as well as contributing to the development and implementation of improved administrative systems and processes.

A week in the role:

If you were here last week, you would have:

  • Supported the recruitment of various roles by generating employment contracts and onboarding successful candidates.
  • Assisted new staff with uploading compliance documents and certifications to our HRIS system.
  • Facilitated staff changes by processing completed workflow forms, drafting letters, and making relevant system changes.
  • Liaised with our payroll team to ensure employee data was correctly processed for the upcoming pay cycle.
  • Participated in a catch-up with the HR advisor and HR manager to discuss HR process improvements.

Key Selection Criteria:

We are looking for a passionate and tech-savvy HR Administrator to provide quality administrative support to our workforce across a range of operational HR initiatives. Using a pragmatic, flexible and proactive approach, you will build strong working relationships with colleagues and stakeholders founded on a partnering approach.

With an eye for detail and good problem‐solving skills you will find your place among a small team of open‐minded colleagues, committed to innovating and continuous improvement. Most of all, you will enjoy working in a collaborative and friendly team whilst contributing to OHV’s larger purpose.

To be successful in this role, you must have:

  • A Relevant Tertiary Human Resources qualification (or be close to graduating).
  • A learned understanding of HR frameworks and relevant legislation.
  • Strong IT skills with some exposure to systems preferably HRIS & LMS
  • Experience in providing high quality administration support (minimum of 1 years’ experience).
  • Demonstrated ability in managing competing demands and priorities
  • Proven attention to detail and critical thinking, with the ability to ‘get the job done.’
  • Communication skills (both verbal and written), with a consultative, ‘can do’ approach to addressing issues.
  • Ability to form and maintain effective relationships with internal and external stakeholders.
  • Ability to take initiative and approach tasks in an innovative, facilitative, and flexible way.
  • Enthusiastic customer service ethic

In line with recent Victorian Government mandatory vaccination requirements for the health industry, and OHV's Mandatory Vaccination Policy, all Odyssey House Victoria staff are required to hold full vaccination status, and effective as of 1 March 2022 also have received the Booster Vaccination. Evidence of such vaccination status will be requested during the onboarding process and offers will be rescinded where such evidence cannot be provided.
