About the Pathways to Employment Program

The Return-to-Work Pathways to Employment project supports older women, particularly those at risk of housing insecurity or financial hardship, to re-enter the workforce. It provides one-on-one coaching, resume help, job matching, employer engagement, and support for psychological preparedness and confidence building. The program is part of OWN’s mission to empower older women and promote economic security through practical support.

About the Position

We are seeking a highly organised and motivated Administration Assistant to join our team to provide routine administrative and clerical support for the Pathways to Employment project, ensuring smooth operations and accurate records. This role is suitable for someone with good attention to detail, strong tech skills, and the ability to work well under routine supervision in a purpose-driven organisation. You’ll work closely with the Pathways Coordinator to support older women in their journey back to employment. This position is for 35 hours per week, offered for one year, with guaranteed extension based on program outcomes with standard leave and entitlements. The successful candidate will be required to work on-site in Newtown, with one day a week remote work arrangement if required.

Key Responsibilities

  • Schedule appointments
  • Maintain and update participant records and spreadsheets
  • Format and file resumes and documents as directed
  • Send standardised emails to participants and referrers
  • Prepare basic documentation and reports from templates
  • Maintain physical and digital filing systems
  • Assist with printing, photocopying, and scanning of materials
  • Support event and meeting logistics (e.g., booking venues, preparing materials)
  • Other administrative tasks as directed by the Coordinator

Key Selection Criteria

  • Good communication and interpersonal abilities
  • Competence using Microsoft Office and Google Workspace
  • Strong attention to detail and ability to follow routine processes
  • Good time management and task prioritisation skills
  • Ability to work in a team and under general supervision
  • Experience in an admin or office support role (paid or volunteer)
  • Understanding of, or willingness to learn about, working with diverse groups
  • Police check (or willingness to obtain one)
  • Enthusiasm for working with older women from diverse backgrounds
  • Team player with a positive attitude
  • Experience in HR or employment services (highly regarded, but not essential)
  • Capacity to work in a small team and travel to community locations as needed
  • Ability to follow instructions
