The Role

In this integral role, you will be responsible for supporting the CEO and Executive Officer with the day-to-day operations of the organisation. Reporting to the CEO, you will provide Executive Assistant support to the CEO/EO, and ensure the smooth running of all Governance related matters of the organisation. This incorporates Board meeting management and supporting the Finance, Audit and Risk Management (FARM) Committee in their functions.

You will be highly organised, have an eye for detail and exceptional interpersonal and planning skills. You require demonstrated experience in drafting minutes and reports, managing compliances mechanisms, and high-level stakeholder management skills.

Key responsibilities include:

  • High-level executive assistance to the CEO, including stakeholder liaison, diary management and scheduling of events
  • Managing travel arrangements and detailed travel itineraries
  • Governance support – managing all administrative matters relating to the Board and FARM Committee meetings
  • Liaising with and supporting Board members to fulfil their Directorial duties
  • Drafting minutes and reports for FARM Committee meetings
  • Overseeing the Policy review schedule and managing associated documentation flows
  • Managing the Work Health and Safety in conjunction with administrative personnel
  • Managing relationships with various internal and external stakeholders to ensure effective collaboration and communication
  • Operations and administrative support to the Executive Officer and other areas of the organisation

Key Selection Criteria

Your demonstrated experience in supporting Executive staff in a positive, collaborative and collegiate manner will be key in this role.

Essential experience and attributes include:

  • Relevant work experience with at least 3-5 years in a similar role.
  • Understanding of Governance requirements within a NFP environment
  • Excellent writing and editing skills with prior experience producing documents including taking minutes and drafting reports and policies and procedures
  • Experience in board meeting agendas, minutes and actions, including the ability to translate a conversation into actionable minutes
  • Excellent planning, organisational and problem-solving skills
  • Superior administrative skills with a desire to support all areas of the organisation
  • The ability to work both independently and collaboratively
  • Strong diplomacy skills and highly developed emotional intelligence
  • Demonstrated ability to think creatively, strategically and analytically
  • A hands-on approach with the ability to work under pressure with multiple deadlines
  • An understanding of community broadcasting and not-for-profit highly desirable
