Pets Of The Homeless (POTH) help keep vulnerable people and their pets together by alleviating the burden of providing essential pet care during times of hardship. ABOUT THE ROLE
As the Strategic Operations Analyst, you’ll work closely with our CEO to provide professional leadership and expertise in data reporting, dashboard and analysis capabilities to develop tools, systems and processes to deliver on its strategic objectives and key initiatives that will shape the future of Pets Of The Homeless. You’ll lead the charge in developing an effective analysis and reliable reporting solutions that will support facility planning, service expansion and operational efficiency—ensuring we are positioned for sustainable growth.

KEY POSITION TASKS
The role includes but is not limited to:
Undertake and lead the development of reports, dashboard or analysis relating to support the following areas:
- CRM Management & Optimisation: Develop a business case outlining CRM infrastructure requirements, assess operational needs, and implement a transition strategy for system optimisation or migration. This includes data management, workflow automation, user training, and integration with existing systems. The goal is to enhance efficiency, improve stakeholder engagement, and ensure seamless adoption by the end of 2026.
- Service Expansion: Conduct a service provision analysis to assess potential new locations, with a focus on regional Victoria. Develop a suite of recommendations based on client demographics, service demand, and funding alignment.
- Facility Planning & Relocation: Develop a business case defining infrastructure requirements, assess operational needs including logistics, budgeting, and risk assessment. The goal is to achieve operational readiness by the end of 2027.
- Financial Analysis & Budgeting: Develop budgets for service expansion and facility transitions (excluding funding acquisition responsibilities).
- Operational Efficiency & Process Improvement: Conduct in-depth reviews of current operations and recommend enhancements to improve service delivery and resource allocation.
- Corporate Partnerships & Strategic Growth: Evaluate existing partnerships and identify opportunities to expand veterinary, safe shelter, and pet food services. Develop engagement strategies to strengthen and grow relationships.
- Performance Measurement & Reporting: Design metrics, dashboards, and reports to track and evaluate the impact of strategic initiatives and operational performance.
- Data-Driven Insights: Leverage Power BI and other analytics tools to support decision-making, generate insights, and enhance reporting capabilities.
- Strategic Initiatives: Assist the CEO with key strategic projects, including but not limited to CRM integration and optimisation.
Ad-hoc duties: The incumbent can expect to be allocated duties not specifically mentioned in this document but within the capacity, qualifications and experience normally expected from persons occupying positions at this classification level.
KEY SELECTION CRITERIA
Essential:
- A minimum 4+ years proven experience in business analysis, strategy, or senior business development roles.
- Expertise in feasibility studies, business case development, and financial modelling.
- Strong stakeholder engagement skills, with experience building and maintaining strategic partnerships.
- Excellent problem-solving and decision-making abilities with strong attention to detail.
- Highly proficient in Power BI and other data analysis tools to provide actionable insights.
Capabilities:
- Strong written and verbal communication skills, including the ability to write reports, proposals, and strategy documents.
- Ability to influence without direct authority, fostering collaboration across teams and external stakeholders.
- Ability to work independently demonstrating appropriate levels of initiative.
- A strong team ethic and a willingness to assist in other areas.
Desirable:
- Tertiary qualification in business or data analytics
- A background in finance reporting and business intelligence is highly desirable.
- Background in facility planning, logistics, and operational transitions.
- Prior experience in non-profits, social enterprises, or community service organisations.
- Understanding of funding structures and grants in the community sector.
- Proven reporting experience including CRM system and process optimisation experience
- Ability to work on site at least one to two days per week.
