About the opportunity
Due to an internal promotion, we are searching for our new Procurement and Contracts Coordinator. This is your opportunity to work with modern and contemporary systems, be part of team that is dedicated to change management and improvement and to support multiple teams manage their procurement and contracting requirements.
Putting your amazing administration, commercial and procurement skills to work, you will operate within our procurement, contracts and Business Process Management Office (BPMO) supporting internal business processes, assisting with procurement and contract work for both program and corporate areas.
What you would be doing
Here are some main areas you will focus on:
- Procurement: Support tendering process, document preparation, correspondence, approach to market, tender evaluation. Secretariat support for tender evaluation meetings, managing records and tender documents. Support administration of Consultancy Services Advisory Panel.
- Contracting: Support the contracting process related to small grants, consulting and services. Input contract information into the Contract Management System (CMS), assist with development and maintenance of procurement templates, conduct contract quality reviews.
- Business Process Management Office (BPMO): Maintain a strong understanding of the Business Management Centre (BMC), supporting testing for enhancements, assisting with process streamlining. Assist with development and updating process maps, user guides and support staff training in the BMC. Act as ‘super-user’ and monitoring the data quality of procurement, contracting and other processes within the BMC.
Here's what you’ll look like
- Procurement Coordination: Thorough understanding of contract options, commissioning, tendering procedures, service market conditions. Exceptional attention to detail. High level business systems skills, proficiency in maintaining and updating templates and processes and generating detailed reports.
- Strong commercial acumen: A robust understanding of, or the ability to quickly grasp, a wide range of contracting options and flexibility to tailor terms and conditions for each transaction. Ability to offer input and advice on contract management processes.
- Communication: Exceptional communication skills. The ability to manage expectations across project teams, ensuring timely and successful procurement outputs. Ability to forge strong collaborative relationships
